Requirements

  • High school diploma required
  • 0–2 years of administrative or office experience preferred
  • Strong organizational and time-management skills
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Strong attention to detail and accuracy
  • Ability to handle confidential information with discretion
  • Positive attitude and willingness to learn
  • Ability to work independently and as part of a team

Nice To Haves

  • post-secondary education in business administration is an asset

Responsibilities

  • Provide general administrative support to Director of Trust & Compliance
  • Answer and direct incoming calls and emails in a professional manner
  • Prepare and process commercial policy documentation, including new business applications, renewals, endorsements, certificates of insurance, and policy summaries
  • Assist with issuing certificates of insurance and evidence of coverage for business clients
  • Maintain accurate electronic client files and ensure documentation compliance
  • Enter and update policy and client information in brokerage management systems
  • Monitor renewal lists and assist with follow-ups on outstanding documentation
  • Draft professional correspondence to insurers and commercial clients
  • Process incoming and outgoing mail
  • Assist with invoicing and billing follow-ups
  • Maintain confidentiality of client and company information
  • Perform other administrative duties as assigned
