This is the entry level of case processing work learning the legal processes and procedures and performing the full range of processing activities of limited complexity. Upon satisfactory completion of department promotional standards and job requirements, employees may be eligible to be promoted to the next level.

Requirements

  • Coursework, training, education, and/or work experience in document processing such as reviewing and evaluating records for completeness and conformity with laws, rules, regulations, standards, policies, and procedures, resolving deficiencies, and tracking and monitoring activities.
  • Coursework, training, education, and/or work experience in record keeping such as maintaining, filing, tracking, and retrieving physical, electronic, and digital documents, reports, or other information.
  • Coursework, training, education, and/or work experience in using an automated information system to enter, update, modify, delete, retrieve/inquire and report on data.
  • Coursework, training, education, and/or work experience in customer service such as providing prompt, accurate, and courteous service to customers seeking information, answering requests as quickly as possible, ensuring customers are satisfied with service, and responding to complaints.

Responsibilities

  • Prepares and issues a wide variety of court/legal documents and determines the appropriate procedural requirements for processing.
  • Delivers excellent customer service in person, by phone, or electronically; greets customers and provides information on procedures, services, events, or case status to internal and external stakeholders, judicial officers, court users, justice partners, and members of the public. attorneys, jurors, litigants, court personnel, and the public.
  • Applies laws, rules, regulations, standards, policies, and procedures relevant to case processing activities.
  • Reviews, processes, and evaluates case records and documents for completeness, accuracy, eligibility, and compliance with applicable procedures, practices, standards, timelines, and costs.
  • Researches case files, records, databases, and other sources to resolve discrepancies, errors, or other issues.
  • Prepares and maintains files and records, ensuring all required documents are included.
  • Uses automated information systems and computer software to enter, update, modify, delete, retrieve, and report on data.
  • Attends hearings and proceedings to provide files, records, and case information to the judicial officer; records event dispositions and administers oaths.
  • May prepare and distribute correspondence, maintain calendars and schedule meetings, hearings, or events; and may compute and collect fees, maintain fiscal records/receipts, or make deposits.
  • Performs other related duties as required.
