About The Position

The purpose of this classification is to perform secretarial and administrative support functions in the management of the office or chambers of assigned Fulton County Judge. Responsibilities include supervision of assigned staff, maintaining/coordinating the Judge's calendar, and acting as a liaison between the Judge, attorneys, staff, litigants, other agencies and individuals.

Requirements

  • Associate's Degree in business administration or a related field is required
  • Two years of office management experience in a legal setting
  • Any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
  • Must be able to demonstrate proficiency in the performance of the essential functions and learn, comprehend, and apply all county or departmental policies, practices, and procedures necessary to function effectively in the position.

Responsibilities

  • Supervises, directs, and evaluates assigned staff: develops and oversees employee work schedules to ensure adequate coverage and control; processes employee concerns and problems and counsels or disciplines as appropriate; assists with or completes employee performance appraisals; acts as a liaison between employees and management; and trains staff in operations, policies, and procedures.
  • Organizes, prioritizes, assigns, and/or coordinates work; prioritizes and schedules work activities in order to meet objectives; ensures that staff members have the proper resources needed to complete the assigned work; monitors status of work in progress; assists with complex/problem situations and provide technical expertise; and provides progress and activity reports to judge and/or court staff.
  • Maintains and coordinates the judge's schedule.
  • Maintains membership dues and organization affiliations: reviews requirements for Judicial/Legal Continuing Education credits; reviews invoices for renewal of Bar Memberships and other organization affiliations; completes payment vouchers for judge's signature; and submits for payment.
  • Acts as liaison between judge and attorneys, staff, litigants, other agencies, and the general public: provides information regarding court calendars and proceedings; responds to mail, email and phone calls; and maintains high visibility and confidentiality.
  • Processes a variety of documentation associated with department/division operations, within designated timeframes and per established procedures: receives and reviews various documentation, including billing invoices, timesheets, leave slips, attendance reports, and various legal documents/forms; reviews, completes, processes, forwards or retains as appropriate; prepares or completes various forms, reports, correspondence, and other documentation, including verdict forms, orders, financial statements, purchase orders, and performance appraisals; compiles data for further processing or for use in preparation of department reports; and maintains computerized and/or hardcopy records.
  • Makes travel/training arrangements: reviews regulations governing continuing judicial education to ensure staff compliance; conducts research and makes training, travel and lodging arrangements; reviews invoices; completes and submits reports and reimbursement forms.
  • Attends meetings and seminars when judge is unavailable.
  • Oversees and monitors administration of office budget.
  • Performs other related duties as required.
