Roles and Responsibilities: 1. Knowledge of processing requests in the Defense Travel System (DTS) 1. Complete the biodata prep forms for DT-II/Capstone for students (full name, DOB, POB, Passport number, issuing country, citizenship, issuing date of passport, and expiration date of passport) 2. Input students and instructors travel authorizations into DTS 3. Input students and instructors travel vouchers and receipts into DTS 4. React to real-time travel issues within working hours…correspond with SATO 2. Reception 1. Answer phone calls 2. Greet people at window and direct to where they need to go, if needed 3. Primary DISS and BASICS request management for command travel 4. Coordinate nametags with vendor for new staff 5. Gee dunk management 1. Sales i. Deposit checks and cash at bank ii. Balance budget (In conjunction with civilian counterpart) 2. Real-time Inventory management 3. Ordering, tracking, and correspondence with vendor 4. Closet management/cleanliness 5. Setup and breakdown coordination for command events 6. Supply closet management 2. Inventory 3. Cleanliness 7. Quarterly office supply request 2. Solicit input from command 3. Cross-reference requests with current inventory 4. Generate P-CARD with all information for AO review and signature 8. CO Book management 2. Keep real time inventory of books issued to new staff and graduating students 3. Generate PCARD for needed books and submit to AO for review 9. Manage USN command ball caps with Command SEL 10. Special Event support 2. Thanksgiving Potluck i. Work with Command SEL to procure necessary food, utensils, etc. ii. Gee dunk setup/breakdown coordination and sales in hangar 2. Holiday Party i. Procure and wrap raffle prizes identified by command leadership ii. Manage party favors iii. Support coordinator as needed/within reason 3. Summer Picnic i. Work with Command SEL to procure necessary food, utensils, etc. ii. Support coordinator as needed/within reason 4. New student indoctrination i. Spouse social 1. Coordinate food and setup/breakdown with class leader’s spouse ii. Mattapany Reception 1. Generate nametags for all hosts, staff, and guests 4. Graduation i. Diploma management 1. Solicit input from CAI and students on how diplomas will read (4 months in advance…NOW) 2. Populate and validate spreadsheet for AO review/approval 3. Generate PCARD request and coordinate with Jostens 4. Track order and delivery 5. Verify diplomas received are accurate 6. Route to JT and Skipper for signature 7. Place in display folders once signed ii. Coordinate graduation day breakfast with class leader’s spouse iii. Organize patches and coins for patching ceremony iv. Create gift book bundle for all graduating students (wrapped in orange ribbon with nametag) v. Child gift bag management (Likely going away)
