About The Position

As a Job Captain in Facilities Planning & Design, your work directly supports the spaces that enable healing, innovation, and patient experience. In this full-time, hybrid role (2 days onsite in Palo Alto), you’ll be at the center of project coordination for planning and design of healthcare capital projects —keeping teams aligned and projects moving forward. You’ll manage documentation, support contracts and invoices, and coordinate meetings and schedules while partnering with project managers, architects, and vendors to deliver high-quality outcomes. Success means staying organized, detail-driven, and proactive across multiple priorities.

The Facilities Planning & Design (FPD) business unit leads the planning, design, and improvement of Stanford Health Care’s spaces to advance excellence in care, innovation, and experience. With expertise across Planning, Design, Land Use & Licensing, Art, Wayfinding, Signage, and Facilities Administration, FPD turns vision into reality, creating functional, compliant, and inspiring environments aligned with Stanford Medicine’s mission.

Plans, organizes, manages and is responsible for all document control and distribution processes and systems for Facilities Services, including all construction project-related documentation received from and sent to the contractor, architect, and internal staff from initial planning and early development of a project through its completion.

Requirements

• Bachelor’s degree from an accredited college or university.
• Degree in a work-related discipline/field (Architecture, Engineering, Construction Management)
• Two (2) or more years of related experience in construction, design or construction management.
• Knowledge of and ability to use project management tools.
• Knowledge of Computer-aided Design (CAD) system, Computer-aided Facility Management (CAFM), estimating, cost control, scheduling, construction administration, quality control, and specific writing and place planning.
• Knowledge of technical and professional requirements in the fields of healthcare delivery, architecture, and the building design process, and construction.
• Knowledge of project management, accounting, construction design, construction methods, building materials, sustainability, mechanical and electrical construction, cost estimation, building codes and standards, and contract administration.
• Knowledge of OSHPD forms, applications, fees, permits, test, and inspection forms.
• Knowledge of Request for Information (RFI), Potential Change Order (PCO), submittal, and invoicing processes.
• Proficient in the use of Microsoft Office Suite business software applications.
• Ability to organize and complete project documentation.
• Ability to read drawings and schematics.
• Ability to plan, organize, prioritize, and complete work within deadlines ensuring accuracy and attention to detail at each step.
• Ability to communicate effectively, both orally and in writing.
• Ability to establish and maintain effective relationships with and gain the cooperation of others at all levels, both within and outside Stanford Health Care (SHC).

• Relevant experience in lieu of degree may be considered. Relevant experience in lieu of a degree is in addition to the experience requirements for this position.
• PMP - Project Mgmt Professional . or CAPM - Certified Associate In Project Mgmt preferred .

Responsibilities

• Coordinate meetings, agendas, and action tracking while managing calendars and communication
• Maintain and organize project documentation in SharePoint and project management systems
• Support RFPs, contracts, and invoice verification workflows
• Build and interpret project schedules using tools like Excel or MS Project
• Contribute to presentations and graphics (PPT) and support design coordination
• Meet regularly with all the parties involved to stay abreast of and track the status of construction projects at all stages.
• Prepare meeting agendas as needed and records and distributes minutes summarizing matters discussed and actions approved.
• Scan, distribute, and file documents including (but not limited to) project designs, drawings, specifications, estimates, and correspondence to the appropriate archival repository.
• Verify and correct project-related documentation where needed.
• Ensure that document control and distribution systems, processes, and procedures are organized, accurate, clear, and complete.
• Maintain effective and on-going communications with construction and contractor management teams.
• Provide initial review of pay applications, change orders, and other incoming construction documents.
• Perform other project engineering and project management-related duties as well as incidental duties as needed or assigned.
