About The Position

The IT Operations Coordinator provides day-to-day operational and logistical support for the IT facility, including equipment receiving and staging, shipping and mail coordination, site operations, vendor support, workplace readiness, and front desk coverage. This position serves as an onsite resource for the IT team while supporting the safe, organized, and efficient operation of the facility. The role also serves as a primary point of contact for visitors and vendors and provides general reception coverage for the location.

Requirements

  • High school diploma or equivalent required.
  • 1–3 years of experience in IT operations support, equipment logistics, shipping and receiving, facilities coordination, office operations, reception, warehouse operations, or a related environment.
  • Proficiency with Microsoft Office and familiarity with digital phone, ticketing, or work-order systems.
  • Strong organizational skills with the ability to manage multiple priorities and respond to time-sensitive operational needs.
  • Strong communication and customer service skills with the ability to interact professionally with employees, visitors, vendors, and business partners.
  • Ability to work independently, identify operational needs, and appropriately escalate issues.
  • High level of dependability, attention to detail, and follow-through.
  • Clear and valid driver's license/ record and reliable transportation required to perform occasional business-related local deliveries or drop-offs.
  • Ability to lift and move up to 50 pounds, safely use ladders and basic facility equipment, and remain standing or walking for extended periods as required.
  • Ability to work onsite during established business hours.

  • Experience working with shipping and carrier systems such as FedEx Ship Manager preferred.

Responsibilities

  • Receive incoming IT equipment returns, unpack equipment, and organize and stage items for review, processing, and inventory by the IT team.
  • Maintain clean, organized, and accessible IT equipment and inventory storage areas.
  • Assist with the movement and organization of IT equipment and related materials throughout the facility.
  • Break down and dispose of equipment packaging, shipping materials, and cardboard in designated trash and recycling areas.
  • Support IT equipment shipping, receiving, and other onsite logistical needs as assigned.
  • Organize, stage, and prepare outbound packages for scheduled carrier pickups.
  • Prepare shipping labels and coordinate outbound and return shipments.
  • Receive, sort, and distribute incoming mail, packages, and courier deliveries.
  • Coordinate vendor and carrier pickups as needed.
  • Transport urgent or time-sensitive shipments to local carrier facilities when necessary.
  • Monitor and respond to internal site work orders and maintenance requests.
  • Serve as an onsite point of contact for vendors and contractors, including HVAC technicians, plumbers, electricians, cleaning providers, and other service providers.
  • Conduct routine facility walkthroughs to identify maintenance, safety, cleanliness, and workplace-readiness concerns.
  • Monitor common areas, walkways, lighting, and emergency exit routes and escalate identified concerns as appropriate.
  • Coordinate routine facility needs and communicate issues requiring additional support to the appropriate internal team or vendor.
  • Maintain clean and organized shared spaces and operational areas.
  • Monitor inventory and coordinate ordering and stocking of designated office, breakroom, printer, and facility supplies.
  • Prepare conference rooms and shared spaces for meetings and events.
  • Assist with basic audiovisual equipment setup for onsite meetings and events.
  • Support employee workstation and seating changes, including moving boxes, chairs, and light office equipment.
  • Greet and assist visitors and vendors and ensure appropriate visitor sign-in procedures are followed.
  • Issue temporary visitor badges in accordance with company security procedures.
  • Answer, screen, and route incoming calls and monitor the general office email inbox.
  • Receive and direct deliveries and onsite service providers to the appropriate contact.
  • Assist HR, Security, and other designated internal partners with employee access and keycard administration as appropriate.
  • Maintain a professional, organized, and welcoming reception area.
