About The Position

Pivotal Health is seeking its first dedicated IT Manager to establish and manage IT support for its growing team across new NYC, LA, and remote offices. This is a hands-on role responsible for building IT infrastructure from the ground up, including employee support, vendor management, office technology, and ensuring seamless daily tech operations. The role requires close collaboration with the Security Platform team to maintain access and device security, adhering to healthcare industry standards like SOC 2 and HIPAA.

Requirements

  • 8+ years in IT support or IT operations, with significant experience as the primary IT contact in a professional office environment.
  • Experience working in small or mid-sized, fast-growing companies, preferably with multiple office locations (e.g., tech, e-commerce, retail).
  • Hands-on experience supporting macOS and Windows operating systems.
  • Experience administering Google Workspace and Slack.
  • Experience managing conference room and AV setups (e.g., Neat Bar/Pad, Logitech).
  • Experience managing IT vendors and hardware purchasing.
  • Excellent interpersonal skills: patient, low-ego, calm under pressure, and able to explain technical concepts clearly to non-technical users.
  • Highly organized with strong documentation, tracking, and follow-through abilities, capable of managing interruptions while completing projects.
  • Resourceful problem-solver, prioritizing existing tools and processes before seeking new software, with an interest in AI and automation for IT tasks.
  • Ability to work independently, set priorities, and proactively identify and flag issues.

Nice To Haves

  • Rippling, Okta, or Microsoft 365 administration experience.
  • Experience with MDM tools (Jamf, Kandji, Intune, or similar).
  • Experience with help desk platforms such as FreshService, Jira Service Management, or Zendesk.
  • Experience supporting a regulated environment (healthcare, SOC 2, HIPAA).

Responsibilities

  • Own Employee Support & the Help Desk: Serve as the primary IT support contact for employees in the NYC office and remotely for all staff. Manage the help desk system (FreshService), implement Slack-based issue triage, create self-serve support resources, troubleshoot macOS and Windows hardware/software, and identify/address recurring IT issues.
  • Run Onboarding, Offboarding & Access: Ensure new hires have necessary IT access and equipment on their first day and that departing employees' access is revoked promptly. Manage user accounts and application access using Rippling, and coordinate with People Operations on the new hire process and device deployment.
  • Manage Devices & Assets: Procure and provision laptops, monitors, and peripherals, with a focus on developing remote provisioning capabilities using MDM. Maintain an accurate inventory of all IT assets, manage spare equipment for offices, and forecast hardware needs based on hiring plans to prevent onboarding delays.
  • Keep Our Offices & Conference Rooms Running: Oversee conference room technology in NY (Neat) and LA (Logitech), including daily checks. Support Zoom and Google Meet, work towards standardizing meeting room platforms, manage office networking and Wi-Fi in conjunction with the network vendor, and act as the on-site technical lead for the new NYC office.
  • Administer SaaS Tools & Vendors: Manage core SaaS applications such as Google Workspace, Slack, Zoom, Notion, Microsoft 365, Asana, Linear, and GitHub, including license management, usage monitoring, and access reviews. Oversee the outsourced IT provider and other IT vendors, determining in-house versus outsourced responsibilities and ensuring vendor performance meets expectations.
  • Partner on Security: Collaborate with the Security Platform team on device compliance, access reviews, and security awareness initiatives. Security strategy and tooling remain under the purview of the Security Platform team.
