About The Position

exacare ai is hiring an IT Manager to establish and lead the IT function supporting our Toronto office. This is the company's first dedicated IT hire and a foundational role within the organization. exacare ai's IT environment, which includes device management, core business systems, office network infrastructure and physical security, is currently administered informally across the Operations and People teams. The IT Manager will assume full ownership of this environment and establish the standards, workflows and support model required to operate it effectively at scale. This includes determining the appropriate service delivery model, up to and including whether a formal ticketing system is introduced. The IT Manager will be based in Toronto and work from our office three days per week, supporting a local employee population of approximately 50 to 100 people. exacare ai is scaling toward 150 employees across New York, Toronto and Vancouver, and the successful candidate will be responsible for building an IT function capable of supporting that growth. This role is well suited to an experienced IT professional who has owned the full technology surface at a single organization, spanning endpoints, identity, network and end-user support, and who is comfortable operating with a high degree of autonomy. The successful candidate will define this function rather than inherit an established one, and will be expected to identify priorities and recommend solutions independently.

Requirements

  • A minimum of five years in a comparable IT role, with demonstrated ownership of the full IT environment at an organization with a laptop-based workforce
  • Practical implementation experience with SSO, SAML and SCIM
  • Experience administering an MDM platform such as Jamf, Kandji or Intune, and managing the complete device lifecycle from procurement through end-of-life disposal
  • Experience covering the full technology surface at a single organization, spanning endpoints, identity, network and end-user support
  • A demonstrated record of building IT processes and infrastructure from the ground up, with the ability to operate effectively without an established playbook or internal escalation path
  • A proven ability to work through unfamiliar technical problems independently. This is exacare ai's only dedicated IT role, and the successful candidate will research, decide and implement without a mentor or coach to escalate to.
  • Strong interpersonal skills, with experience partnering closely with People Operations, Operations and the wider employee base
  • Sound judgment in process design, with the ability to apply appropriately scaled solutions within a high-growth environment

Responsibilities

  • Device lifecycle: Own the complete device lifecycle, including procurement, provisioning, MDM enrollment, ongoing maintenance and responsible end-of-life disposal
  • Onboarding and offboarding: Manage employee onboarding and offboarding, including automated provisioning and de-provisioning across core systems using SSO and SCIM
  • Core systems administration: Administer Google Workspace, Rippling, SentinelOne, 1Password, and manage access and licensing across the broader software stack
  • Network infrastructure: Own the office network and Wi-Fi, including oversight of the network provider relationship and internal visibility into network performance
  • Office technology: Configure and maintain conference room and AV systems across the Toronto office, and manage employee peripherals including monitors, mice, keyboards, headphones and speakers.
  • Security and compliance: Support exacare ai's SOC 2 program, and own password management and endpoint protection
  • Physical security: Own access control systems, including the implementation of facial recognition
  • Internal support: Serve as the primary point of contact for technical support across the Toronto office
  • Building the function: Establish the workflows, service delivery model and processes required to scale IT support as headcount grows
  • Cross-functional partnership: Partner with People Operations and Operations on new hire setup, office projects and cross-functional initiatives
  • Procurement: Support software procurement and vendor evaluation as the technology stack expands
