About The Position

CIEE is a non-profit study abroad and intercultural exchange organization that transforms lives and bridges individuals and nations through study abroad and international exchange experiences. The IT/Facilities Coordinator is a temporary, hybrid role supporting both office coordination and tier 1 Help Desk functions for US and international staff. This position serves as the first point of contact for vendors and visitors, ensuring the office space functions effectively for employees. Additionally, the role supports the organization's IT functions for worldwide staff, emphasizing outstanding customer service. This is primarily an in-office role, with occasional work-from-home flexibility. The ideal candidate will be professional, flexible, motivated, organized, and eager to learn.

Requirements

  • Computer skills including Microsoft Word, Excel, Outlook, and Teams.
  • Flexibility and interest in a dynamic, team-oriented working environment.
  • A willingness to help, follow through, strong organizational skills, and a service mentality are critical in this role.
  • Ability to lift and carry 25 pounds.

Responsibilities

  • Process and track office-related invoices, coordinating with vendors and internal finance teams as needed.
  • Assist the IT Help Desk team with onboarding and offboarding processes, including account setup, equipment preparation, and access management.
  • Serve as the primary point of contact for employees, visitors, and vendors at our Portland office.
  • Occasional travel to Boston required (approximately one day per quarter).
  • Ensure the office environment is functional, organized, and welcoming for staff and guests.
  • Manage building access and security for employees, vendors, and visitors.
  • Act as CIEE's liaison with our landlord and building management team.
  • Support planning and coordination of office events and larger meetings.
  • Partner with IT to maintain office functionality, including printers, internet, workstations, and general troubleshooting.
  • Other duties as assigned.
