About The Position

The Applications Administrator is responsible for installing, administering, and maintaining enterprise software systems, with a primary focus on our senior living community software. The Administrator will support VMRC departments by aiding in departmental system upgrades and configuration changes as needed. The Administrator will perform system updates in accordance with established policies and procedures. They will answer and resolve helpdesk tickets and provide support to both staff and residents. The Application Administrator will be responsible for application user onboarding and offboarding processes and will work to integrate directory service information into appropriate systems. They will develop and implement Disaster Recovery and Business Continuity (DR/BCP) plans for the systems under their responsibility. The Administrator will develop and provide training to application power users and to end users. This role ensures that resident care, operations, compliance, and business systems function reliably and securely to support high-quality resident services and staff efficiency.

Requirements

  • Proven experience in administering enterprise applications that includes responsibility for managing upgrades, provisioning users, daily system operations, and ensuring security and compliance.
  • Experience working with system users to implement efficient workflows.
  • Experience developing training materials and providing system training for end users and departmental super-users.
  • Experience developing and documenting downtime and DR/BCP processes for large systems.
  • Excellent problem-solving abilities.
  • Ability to communicate well in oral or written form and to convey technical information to audiences with varying levels of technical understanding.
  • Demonstrated ability to plan and lead technical projects to achieve departmental goals.
  • Ability to support critical systems as needed after hours and participate in on-call rotation.

Nice To Haves

  • Experience with senior living community software and electronic health records (EHR) software preferred.
  • Bachelor’s degree in Computer Science, Information Systems, a related field or equivalent professional experience preferred.
  • Data analysis, scripting, and system integration experience preferred.

Responsibilities

  • Install, configure, maintain, and upgrade enterprise software used in senior living operations.
  • Manage application lifecycles, including testing, patching, updates, and vendor-released upgrades.
  • Monitor application performance and availability, identifying and resolving issues proactively.
  • Coordinate with application vendors for support, troubleshooting, and escalations.
  • Maintain application security and access controls in compliance with applicable regulations (e.g., HIPAA, state healthcare regulations).
  • Manage user accounts, roles, and permissions using least privileged principles.
  • Support audits, surveys, and compliance reviews by ensuring application data accuracy and system readiness.
  • Apply security patches and ensure systems meet organizational security standards.
  • Ensure data integrity, system backups, and recovery processes for application data.
  • Assist with disaster recovery and business continuity planning for mission-critical applications.
  • Support reporting needs for leadership, compliance, and operational metrics.
  • Maintain technical documentation, procedures, and configuration standards.
  • Provide training and ongoing support to staff with varying levels of technical expertise.
  • Develop user guides and quick-reference materials as needed.
  • Provide system training to residents.
  • Partner with clinical staff, operations leaders, vendors, and IT teams to improve application usability and efficiency.
  • Identify opportunities to streamline workflows and reduce manual processes.
  • Stay informed of senior living technology trends and regulatory requirements.
  • Provide end user support for IT systems to staff and residents.
  • Provide second-level and escalated support to IT staff within areas of responsibility.
  • Utilize technical skills to investigate and solve difficult problems.
  • Conduct after-hour maintenance activities to minimize impact on users.
  • Participate in an on-call rotation to respond to critical issues.
  • Provide budget requests to the Director of Information Technology.
  • Develop project plans, requirements and timelines and present them for review.
  • Manage approved projects alone or in conjunction with other IT staff.
  • Provide input into the development of the IT roadmap and software lifecycle plan.
  • Participate in IT retreats and planning sessions.
  • Complete the required HR training programs.
  • Participate in industry webinars, certification programs, workshops, and training to stay current with technology trends.
  • Contribute to the development of IT policies and procedures to ensure efficient and effective IT administration and security.
  • Comply with all VMRC and departmental policies & guidelines conscientiously.
  • Actively engage residents in a meaningful, positive, and compassionate manner while ensuring an environment of resident-centered respect and appreciation.
  • Maintain confidentiality of all resident care and protected health information. Report known or suspected incidents of unauthorized disclosure of confidential information to a supervisor or designee.
  • Handle responsibility and maintain a positive, professional & collaborative working relationship with residents, families, administration, peers, and co-workers.
  • Demonstrate good attendance and maintain "Employment in Good Standing."
  • Use correct body mechanics to prevent injury to self, residents, and other staff.
  • Assume responsibility for and actively participate in staff development (professional growth) and continuing education to keep up-to-date skills and required certification(s).
  • Demonstrate computer skills necessary to complete job tasks/responsibilities.
  • Attend all required in-services and department staff meetings.
  • Follow emergency and evacuation procedures.
  • Perform other duties as assigned by supervisor.
