About The Position

The IT Administrative Coordinator supports the day-to-day operations of the IT department through administrative support, project coordination, documentation, and cross-functional communication. This role helps maintain organized IT processes, accurate records, and effective coordination across the team while supporting IT projects and operational priorities.

Requirements

  • Bachelor’s degree preferred.
  • 1–2 years of relevant experience preferred.
  • Proficiency with Microsoft Office, project management tools, and IT ticketing systems.
  • Familiarity with IT systems, processes, hardware, software, and terminology.
  • Experience with database management, data entry, documentation, or record keeping.
  • Ability to manage multiple priorities and maintain accuracy in a changing environment.

Responsibilities

  • Coordinate IT department schedules, meetings, training sessions, project timelines, and other administrative activities.
  • Maintain accurate records of IT equipment inventory, software licenses, vendor contracts, purchase orders, invoices, and department expenses.
  • Support IT projects by tracking timelines, milestones, deliverables, action items, risks, and follow-up activities.
  • Maintain IT documentation, including standard operating procedures, user guides, FAQs, system information, and project records.
  • Support system updates, testing, user training, account access, permissions, and IT onboarding activities in partnership with IT team members.
  • Coordinate communication across IT, internal departments, and external vendors to support projects and operational needs.
  • Prepare reports and presentations and ensure IT updates, system changes, and security communications are distributed appropriately.
