About The Position

Responsible for clerical functions and administrative support of food service programs. This role involves answering telephones, maintaining confidential files, assisting management with employment documents, and supporting staffing needs. The position also requires accurate record-keeping for student meal programs, processing financial transactions, vendor invoices, and preparing financial reports. Additionally, the IT Admin Assistant will perform daily bank deposit reconciliation, monthly vendor statement reconciliation, and prepare monthly state claim forms for reimbursement. The role also includes attending required meetings, maintaining a safe work environment, and performing other assigned duties. This is a full-time position with a schedule of 8:00 am - 4:30 pm, though hours may vary. Prior IT and admin experience is required. The role also includes setting up, configuring, and maintaining POS terminals, handheld devices, kiosks, AI, delivery and mobile ordering devices, troubleshooting transaction failures, connectivity issues, and device malfunctions during events, and providing on-site IT support during dining and athletic events.

Responsibilities

  • Answer telephones and direct inquiries in a professional and client centric manner.
  • Maintain confidential personnel files.
  • Assist management staff in preparing confidential employment and labor relations documents, including but not limited to proposed disciplinary notices.
  • Assist with staffing, including finding staff when employees call out on short notice.
  • Work effectively and maintain good working relationships with co-workers, school personnel, administrators, student's parents and Supervisor.
  • Complete and maintain accurate and up to date records of students eligible for free and reduced priced lunches if applicable.
  • Enter weekly cash sales and meal counts using computer.
  • Perform daily bank deposit reconciliation.
  • Process vendor invoices for payment - using computer, making sure addition is correct and checking item prices against bid specifications, making sure there is no discrepancy in pricing.
  • Perform monthly vendor statement reconciliation.
  • Prepare monthly state claim form for reimbursement.
  • Assist in preparation of end of month financial reports.
  • Attend in-service and/or safety meetings as required.
  • Maintain clean and safe work environment; ability to perform job safely.
  • Set up, configure, and maintain POS terminals, handheld devices, kiosks, AI, delivery and mobile ordering devices.
  • Troubleshoot transaction failures, connectivity issues, and device malfunctions during events.
  • Provide on-site IT support during dining and athletic events (football, basketball, baseball, softball, etc.).
  • Performs other duties as assigned.
