About The Position

The Talent Management, Multiculturalism and Status of Women (TMMSW) Division supports government-wide initiatives that strengthen the Alberta Public Service and advance positive outcomes for Albertans. At the centre of this work, the Assistant Deputy Minister's Office (ADMO) provides strategic coordination, issues management, and executive support to help leadership navigate priorities and make informed decisions. This role plays a key role in supporting executive operations and decision-making across TMMSW’s diverse and fast-paced portfolio. Working at the centre of information flow, the position helps to coordinate and manage priority issues, executive processes, planning and reporting activities, and divisional commitments to ensure leadership is equipped with timely, accurate information for decision-making.

  • Experience tracking commitments, action items, approvals, or executive requests through to completion.
  • Experience researching, analyzing, and synthesizing information to support decision-making in a public sector or similarly complex organization.
  • Strong written communication skills, attention to detail, and ability to maintain accuracy and quality under tight timelines.
  • Awareness of the Alberta Public Service’s departments and decision-making structures.

Nice To Haves

  • Experience working in or supporting an executive office, assistant deputy minister’s office, deputy minister’s office, or comparable senior leadership environment.
  • Experience with Alberta Public Service decision-making processes, action requests, briefing materials, and approval pathways.
  • Experience working with internal and external stakeholders to gather information, understand different perspectives, and support alignment on shared priorities.

Responsibilities

  • Coordinate and manage executive priorities, action requests, briefings, correspondence, and approvals, ensuring accurate tracking, timely responses, and effective support to the ADM Office.
  • Monitor emerging issues, risks, sensitivities, and stakeholder considerations, identifying items that require executive awareness, escalation, or action.
  • Research, analyze, and synthesize information from a variety of sources to prepare briefings, reports, and executive communications.
  • Provide oversight and coordination of divisional commitments, ensuring accurate tracking, follow-up, and reporting on key activities and deadlines.
  • Support divisional planning and reporting processes by coordinating inputs, monitoring commitments, and synthesizing information for leadership.
  • Review and quality-control materials to ensure accuracy, completeness, consistency, and adherence to division and government standards.
  • Build collaborative relationships with branch staff, colleagues from other divisions, executive offices and stakeholders to facilitate information sharing, issue resolution, and coordinated responses.
  • Identify opportunities to improve processes, information management practices, and tracking tools to enhance operational effectiveness.
  • Provide advice and coordination support on complex, sensitive, and high-priority issues, helping leadership assess implications, risks, and next steps.
