About The Position

The Information Technology Service Management (ITSM) Asset Coordinator is responsible for the comprehensive lifecycle management of Information Technology (IT) assets and inventory within the organization. This role ensures the accurate tracking, control, and optimization of IT hardware and software assets, supporting efficient operations and compliance with organizational policies and regulatory requirements. The specialist will play a crucial role in maintaining inventory accuracy, facilitating procurement processes, and collaborating with various internal departments to support the organization's IT infrastructure.

Requirements

  • Bachelor's degree in engineering/science/information technology discipline OR Master's degree in engineering/science/information technology discipline OR Applicants without a bachelor's degree may be considered based on a combination of at least 8 years of completed education and/or relevant experience.
  • Proficiency in inventory management software and database systems.
  • Strong command of Microsoft Office applications, particularly advanced Excel skills for data analysis and reporting.
  • Exceptional attention to detail and accuracy in tracking and auditing.
  • Strong communication skills, both written and verbal, to interact effectively with internal teams and external departments.
  • Demonstrated ability to communicate procurement needs and status clearly across the organization.
  • Excellent organizational and time management abilities.
  • A proactive approach to problem-solving and discrepancy resolution.
  • Requires a Q clearance; however all qualified candidates will be considered regardless of their current clearance status.
  • The ability to obtain and maintain a Department of Energy Q clearance is required.
  • Position may require entry into Materials Access Areas (MAA) and participation in the Human Reliability Program (HRP).
  • If HRP is required, candidate must complete a counterintelligence-scope polygraph, pursuant to 10 Code of Federal Regulations (CFR) 709.

Responsibilities

  • Track and manage IT inventory stock levels, establishing and maintaining minimum and maximum thresholds to ensure material availability while preventing overstocking.
  • Perform regular physical counts of IT inventory, reconciling discrepancies with system records, and investigating root causes for variances.
  • Inspect incoming IT shipments for quality, accuracy, and completeness, coordinating storage or immediate transfer as required.
  • Ensure all IT assets and inventory are appropriately labeled and recorded upon receipt.
  • Maintain an accurate and up-to-date record of all fixed IT assets throughout their lifecycle, from acquisition to disposal.
  • Generate regular reports on IT asset usage, inventory status, and lifecycle events to support decision-making and strategic planning.
  • Accurately maintain computerized records for all IT assets and inventory using designated management systems.
  • Develop and present inventory and asset reports to management, highlighting key metrics and areas for improvement.
  • Oversee and administer the eShop hardware management system, including catalog maintenance, order fulfillment, and inventory synchronization.
  • Administer the Mobile Device Management (MDM) platform, including device enrollment, policy application, and compliance monitoring for all organizational mobile devices.
  • Manage the lifecycle of mobile devices, from procurement and deployment to decommissioning and secure data wiping.
  • Provide initial troubleshooting and support for MDM-related issues and mobile device functionalities.
  • Ensure mobile device inventory is accurately reflected in asset management systems and compliant with security policies.
  • Ensure all inventory and asset management activities comply with organizational policies, particularly those relevant to government roles, and safety regulations.
  • Support internal and external audits related to IT assets and inventory.
  • Liaise with the IT organization to ensure timely and accurate placement of procurement requests for IT assets and components.
  • Collaborate with Supply Chain and Property departments to ensure proper handling, delivery, and receipt of IT procurements to approved locations.
  • Communicate effectively with internal stakeholders regarding inventory status, availability, and asset-related inquiries.
