The IP Transfers Coordinator provides administrative support to the IP Transfers Team, assisting in the management and movement of client files related to the Firm’s Intellectual Property matters. This role supports daily operations including the collection, processing, review, analysis, and transfer of records. The coordinator works closely with the IP Transfers Team, paralegals, and administrative staff to ensure efficient workflows, high-quality service and timely responsiveness across departments.

Requirements

  • Bachelor’s degree or minimum of one (1) year work experience in an administrative or legal support capacity, or equivalent of education and work experience.
  • Strong interpersonal, organizational, and communication skills, with the ability to communicate clearly, both written and verbal formats.
  • Demonstrate a strong work ethic and self-motivation with a desire to take initiative.
  • Understanding of legal ethics and professional responsibility principles.
  • Excellent analytical and problem-solving abilities, with the capacity to manage multiple priorities in a fast-paced environment.
  • High level of attention-to-detail and accuracy.
  • Ability to handle sensitive and confidential information with sound judgment and discretion.
  • Collaborative team player with a positive and professional approach.
  • Proficiency in standard office software (MS Excel, Word, Internet Search Engines, etc.) required.

Nice To Haves

  • Familiar with Relativity or similar systems a plus.

Responsibilities

  • Provide administrative support to the IP Transfers Team across a variety of functions.
  • Assist with the transfer of digital and physical IP client records into and out of the Firm.
  • Support the transfer of digital records across the Firm’s docketing system, document management system and other repositories, coordinating with the IP Transfers and/or File Transfers teams as needed.
  • Conduct database searches, audits, and record reviews to ensure accurate and compliant data transfers.
  • Work with multiple data formats and assist with data conversions.
  • Identify, troubleshoot, and resolve or escalate data transfer issues as appropriate.
  • Draft communications, prepare formal documentation, and generate reports related to transfer activities.
  • Coordinate and support all aspects of records transfers, including approvals, receipts, and acknowledgements.
  • Ensure client transfer requests are completed accurately and within established timelines.
  • Support special projects and perform additional duties as assigned by IP Transfers and/or Client File Transfers Teams.
  • Complete ad-hoc data audits and project-based tasks as needed.
