About The Position

The invoicing specialist is responsible for the timely and accurate billing of customer orders, including sales adjustments and audits when required.

Requirements

  • High school diploma or GED required, post high school education preferred
  • 3+ years of relevant work experience required
  • Strong computer skills including MRP/ERP systems and MS Office; prior experience with Winman is a plus
  • Prior sales tax experience preferred
  • Excellent data entry speed and accuracy
  • Strong customer service skills, attention to detail, problem-solving skills, written and verbal communication, and interpersonal skills
  • Proven ability to multi-task and prioritize in a fast-paced environment
  • While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to walk; use hands to finger, handle or feel; and reach with hands and arms. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Responsibilities

  • Prepare and issue accurate and timely invoices to customers
  • Process credit memos related to inventory returns, customer deposits, or other adjustments
  • Review and analyze AR aging and send monthly statements to customers, addressing and resolving billing discrepancies
  • Ensure new customers are established in accordance with internal policies
  • Reconcile tax accounts, accrue, and submit tax reports
  • Assist with collecting exemption or resale certificates from customers and provide sales tax exemption certificates to vendors
  • Manage the shared e-mail box and respond to requests in a timely manner
  • Maintain strong working relationships with external customers and internal partners
  • Model a continuous improvement mindset, identifying process improvements and efficiencies
  • Assist with month-end close tasks
  • Follow SOX procedures and company policies and procedures
