About The Position

The State of Utah Department of Commerce, Division of Professional Licensing (DOPL) is looking for an Investigative Technician. Telework is not available during training (approximately 3-5 months). Following training, up to 3 days of telework may be approved if eligibility requirements are met. In this position you will process complaints, as well as answer questions and assist the public regarding the laws and rules of DOPL regulated professions.

Requirements

  • Ability to attend the initial training period in-person at our Salt Lake City office, with the understanding that hybrid telework (up to 3 days per week) is available once you have demonstrated understanding and competency in the basic functions of the position.
  • 1 year of office, clerical, or customer service experience
  • Practical experience using Microsoft Office (Word, Excel, Outlook) or Google Workspace (Docs, Sheets, Drive)
  • Ability to handle public-facing customer service, answer phone inquiries, and draft professional emails/written correspondence.
  • Experience managing file systems, data entry, operating standard office equipment, and maintaining strict confidentiality with sensitive records
  • Deal with people in a manner which shows sensitivity, tact, and professionalism.
  • Operate office equipment.
  • Communicate fluently in English.
  • Maintain confidentiality.
  • Understanding of agency objectives, organization, structure and mission.
  • Plan, organize and prioritize time and workload in order to accomplish tasks and meet deadlines.
  • Knowledge of research methods, techniques, and/or sources of information.
  • Understanding of proper grammar, spelling and punctuation.

Nice To Haves

  • Advanced Microsoft Excel / Google Sheets / Adobe Pro, and case management (Salesforce/MLO) software experience.
  • Familiarity with Utah Code, Administrative Rules, Administrative Proceedings, and Utah’s Division of Professional Licensing.
  • Background in paralegal studies, criminal justice coursework, or previous background checking experience.

Responsibilities

  • Reviewing, evaluating, and processing complaints per statute, rule, and established policies and procedures.
  • Responding to telephone, face-to-face, and written inquiries.
  • Maintaining and demonstrating a working knowledge and understanding of all laws, rules, and policies/procedures relating to assigned position.
  • Demonstrating a working knowledge of basic computer skills and agency-used software applications.
  • Entering data, accurately, into agency software.
  • Writes or drafts correspondence, reports, documents and/or other written materials.
  • Verifies data entry by comparing the source document against input data, utilizing automated verification system, using dual entry or other verification technique.
  • Maintains and/or creates case files or record keeping systems.
  • Sorts, labels, files and retrieves documents, or other materials.
  • Edits written material for accuracy, format, and arrangement of material.
  • Reviews data, records and files for detail and accuracy.
  • Monitor, track and follow up on documentation, case files or other assignments to ensure appropriate timelines are met and action completed.
