About The Position

The Inventory Specialist is a critical role responsible for maintaining the integrity of warehouse operations through rigorous auditing, quality control, and logistical coordination. This position ensures that all stock, specifically high-volume beverage and dry goods, is accounted for and handled according to strict safety and quality standards. This gig is based at the Apollo Warehouse in Doral, FL, where you’ll be at the heart of our shoreside warehouse operations. This is an on-site role and will also require travel to the Port of Miami as needed to support operational needs and ensure smooth sailing across our supply chain.

Requirements

  • Proven experience in a high-volume logistics or warehouse environment.
  • Strong proficiency in inventory management software and documentation organization.
  • Knowledge of pallet building safety standards and space management techniques.
  • Ability to identify and report discrepancies with a high degree of detail.
  • Physical capability to supervise floor operations and inspect diverse stock types (Dry, Frozen, Chilled, and Beverage).
  • Ability to lift up to 25 lbs.

  • Forklift operator experience is a plus.

Responsibilities

  • Conduct daily physical inspections of both dry and frozen pallets to verify that counts match warehouse documentation.
  • Review and organize all delivery documentation and picking tickets to ensure they are ready for inspection and processing.
  • Identify and document any missing items or invoice discrepancies.
  • Use inventory management software, such as Apollo Solution, to confirm deliveries, track locations, and manage documentation for Virgin Voyages (VV) stock.
  • Update comprehensive records of stock and discrepancies at the end of each week to provide accurate reports to the accounting department.
  • Develop detailed weekly plans every Monday for upcoming loading operations to ensure efficient warehouse throughput.
  • Participate in weekly meetings every Tuesday with supervisors and the accounting team to resolve pending invoice issues and communicate the loading schedule.
  • Communicate directly with the accounting team via email to request credits for items identified as missing during inspections.
  • Supervise the movement of pallets during dispatch to ensure no items are left behind or misplaced.
  • Perform daily quality inspections of all incoming beverage pallets to ensure they meet specified standards.
  • Enforce strict pallet building protocols, including a "heavy-on-bottom" approach (e.g., placing 12-bottle cases beneath 6-bottle cases) and maintaining height limits of four layers.
  • Ensure pallets are wrapped securely—specifically reinforcing oil pallets with at least two layers of wrap—to maintain stability and prevent damage during transit.
  • Actively manage warehouse floor space by consolidating pallets and rebuilding improperly stacked units to prevent inspection delays.
