About The Position

The Inventory & Service Parts Operations Specialist is responsible for managing inventory and reverse logistics across multiple remote customer or service locations. This role ensures appropriate stocking levels, timely replenishment, accurate tracking of defective returns, and clear reporting on parts failure trends by site. The position partners closely with Planning, Buyers, Manufacturing, Suppliers, and Service teams to maintain component availability, support customer uptime, and drive disciplined inventory control.

Requirements

  • High School Diploma and 2+ years of experience managing service parts inventory across multiple remote locations
  • Experience in inventory management, service parts operations, supply chain, logistics, materials management, or reverse logistics.
  • Working knowledge of min/max inventory practices, replenishment planning, and component tracking.
  • Ability to coordinate across Planning, Procurement/Buyers, Manufacturing, Supplier, and Service teams.
  • Strong attention to detail, especially when validating returned parts, quantities, part numbers, and supporting documentation.
  • Ability to manage multiple locations, open actions, and competing priorities in a structured manner.
  • Strong communication and follow-up skills with internal teams and external suppliers.
  • Proficiency with inventory tracking tools, ERP systems, Excel, or similar reporting tools.

Nice To Haves

  • Experience supporting remote field inventory/spares pools, warranty support, or service logistics programs.
  • Experience managing RMA, defective return, supplier credit, or replacement processes.

Responsibilities

  • Manage service parts inventory across multiple remote locations and ensure each site has the appropriate stock to support business needs.
  • Maintain min/max inventory levels for assigned components and locations.
  • Monitor site inventory balances and initiate replenishment activity when components reach reorder thresholds.
  • Support inventory accuracy through regular reviews, reconciliations, and exception follow-up.
  • Work with the Planning team to understand demand requirements and translate demand signals into inventory needs.
  • Partner with Buyers to understand supplier lead times, reorder timelines, and potential supply constraints.
  • Identify parts at risk of shortage due to usage trends, long lead times, or delayed replenishment.
  • Escalate inventory risks and recommend actions to maintain site readiness.
  • Track customer defective returns from multiple remote locations from initiation through closure.
  • Coordinate receipt, documentation, and disposition of returned defective components.
  • Physically inspect and audit returned materials to validate condition, quantity, part number, and return eligibility.
  • Maintain accurate records of return status, replacement status, credit status, and open action items.
  • Work with Manufacturing and Suppliers to process defective returns for credit, replacement, repair, or other approved disposition.
  • Follow up on open supplier return authorizations, replacement commitments, and credit recovery actions.
  • Identify recurring return issues and coordinate with cross-functional teams to support corrective action where needed.
  • Prepare monthly reporting showing parts failures by site, component, and return status.
