About The Position

The Inventory and Property Control Coordinator III will provide broad inventory services to the VMTH. This position will maintain hospital inventory of all supplies, work to oversee ordering and receiving processes and maintain accurate counts and records of all products. This position will act as the liaison between the clinical services, purchasing, pharmacy/ materials management, and receiving to ensure that products are maintained at appropriate levels, stored in operating conditions and available based on supply and demand. This position will work with the appropriate software to maintain par levels, pricing, and ordering information. This position will also be responsible for semi-annual inventory as well semi-regular formulary review. Oversee ordering and receiving and reconciliation of orders. Assist with the organization of the physical storage and selling of supplies to services to optimize space and efficiency.

Requirements

  • Bachelor’s degree in applicable field or equivalent combination of education and experience
  • Three years of related experience in one or all the following: inventory or warehouse management, hospital inventory operations

  • Medical and/or Pharmacy Background
  • 3 years of experience in business, Finance, purchasing and inventory control.
  • Experience with Analyzing data and Trends

  • Strong supervisory, management, and interpersonal skills
  • Knowledge of word processing and spreadsheet applications

Responsibilities

  • Develop forecasting models based on usage trends, seasonality, and clinical demand.
  • Oversee and maintain hospital inventory of all supplies, coordinating the purchasing and receiving processes, and maintaining accurate counts of all products.
  • Signs inventory certifications.
  • Monitors and assures inventory levels meet demand by tracking usage & setting inventory levels in support of appropriate PAR levels conducive to hospital function.
  • Design and implement procedures to mitigate loss; limit excess, outdated and slow-moving inventory; and improve processes.
  • Implement a notification system upon delivery of rush/overnight orders.
  • Oversee the distribution of medical supplies to requesting departments.
  • Oversee accuracy in shipments going out or coming in and managing all documentation of receives goods.
  • Efficiently uses warehouse space.
  • Ensures supply chain areas are organized and maintained, including regular cleaning and labeling.
  • Schedules and perform audits on departmental inventories.
  • Compile inventory reports and forecast inventory requirements by monitoring supply shortages.
  • Act as a liaison between clinical supervisors and supply chain to set PAR levels and communicate any backorders, delays, damaged items etc.
  • Resolves customer service issues and answers questions of those needing assistance.
  • Will meet with the hospital service departments regularly to ensure proper supplies and pars are maintained.
  • Oversee the buyers, central receiving, and materials management staff.
  • Lead initiates to improve workflow, reduce waste, and enhance supply chain efficiency.
  • Develop and refine SOPs for inventory, receiving, and distribution
  • Conducts training for new staff.
  • Updates instruction and procedure manuals regarding inventory.
  • Attends training and workshops as required.
  • Prepares and updates various and applicable inventory reports.
  • Ensures compliance with Federal, State, and Texas A&M University System (TAMUS) guidelines governing property, inventory, and related activities
