The Inventory Coordinator owns the accuracy and integrity of the site's inventory records, including primary ownership of the cycle counting program, verifying on-hand quantities, researching and resolving variances, and maintaining the transactional discipline needed to support an active data center construction program where material availability directly affects schedule. Reporting to the Inventory Manager, the Coordinator performs count and record-control functions separately from the warehouse team's receiving, staging, put-away, and issuing activities; this segregation of duties supports internal control and audit requirements and gives project, maintenance, procurement, and finance stakeholders reliable inventory data for purchasing, staging, and installation decisions. Requirements

  • 5+ years of experience in inventory control, cycle counting, warehouse operations, or a related materials management role.
  • Working knowledge of inventory transactions and record keeping within an ERP or warehouse management system.
  • Proficiency with Excel, including sorting, filtering, lookups, and pivot tables for count and variance analysis.
  • Demonstrated attention to detail and accuracy, with the ability to research discrepancies methodically and document findings clearly.
  • Ability to work independently, maintain objectivity in verification activities, and hold inventory records to a defined standard.
  • Strong written and verbal communication skills, with the ability to work effectively alongside warehouse, project, and procurement personnel.
  • High school diploma or equivalent, and the ability to obtain site safety certifications as required.
  • Ability to work in an active construction environment, including warehouse, laydown yard, and outdoor conditions, and to lift and move material in accordance with site policy.
  • Minimal; occasional travel between sites as required

Nice To Haves

  • Experience supporting construction, infrastructure, energy, or data center environments.
  • Forklift or material handling equipment certification, current or obtainable.
  • Exposure to inventory valuation methods, FIFO, FEFO or LIFO practices, or formal root cause analysis processes.
  • Bilingual English and Spanish.

Responsibilities

  • Execute the site cycle counting program, ensuring count coverage targets are met across all storage locations, laydown yards, and staging areas.
  • Prioritize count frequency by material value, movement velocity, and criticality to the construction schedule.
  • Maintain count schedules and completion records, and report count completion rate and inventory record accuracy to the Inventory Manager.
  • Perform physical counts independently of the personnel who receive, stage, and issue the material being counted, preserving segregation of duties between inventory verification and material handling.
  • Support wall-to-wall physical inventories, year-end counts, and any third-party or audit count requirements.
  • Research count variances to determine root cause, including transaction errors, misidentified or mislabeled material, unrecorded issues, mislocated stock, and receiving discrepancies.
  • Document findings and submit adjustment recommendations to the Inventory Manager for review and approval in accordance with established authorization thresholds.
  • Track recurring variance drivers and recommend corrective actions that prevent repeat occurrences rather than correcting symptoms.
  • Maintain accurate item master data, units of measure, locations, and bin assignments within the ERP and inventory system of record.
  • Verify that receipts, issues, transfers, and returns are transacted accurately and in a timely manner, and escalate transactional gaps to the Inventory Manager.
  • Maintain location, labeling, and identification standards, including bin identification, material identification, and lot or serial tracking where applicable.
  • Support material identification, segregation of damaged or nonconforming material, and control of quarantined and hold items.
  • Coordinate count scheduling with the Warehouse Supervisor so that verification activity does not disrupt receiving, issuing, or dock throughput.
  • Support project, construction, and procurement teams with on-hand availability confirmations, shortage checks, and material research requests.
  • Monitor aging, excess, obsolete, and slow-moving material and report findings for disposition.
  • Document inventory control procedures, including cycle counting, variance research, adjustment approval, labeling, and location standards, and maintain them as controlled standard operating procedures.
  • Support standardization of inventory practices across sites so that procedures, terminology, and reporting remain consistent program-wide.
  • Identify and recommend process, layout, and system improvements that improve accuracy and reduce unnecessary handling.
  • Prepare and distribute recurring inventory reporting, including cycle count completion, inventory record accuracy, variance quantity and value, and aging or slow-moving stock.
  • Provide data and supporting documentation for month-end close, audit requests, and project reporting requirements.
