About The Position

Kocourek Automotive is looking for a dependable, organized Inventory & Title Specialist to join their team. This role is ideal for someone who loves organization, pays close attention to detail, and takes pride in completing tasks accurately. The specialist will be responsible for ensuring dealership sales, title, service, and wholesale documentation is accurate, organized, and processed efficiently. This involves close collaboration with the F&I department and the dealership office team to guarantee all paperwork is complete, properly documented, and filed correctly.

Requirements

  • Comfort working with paperwork, computers, and electronic records.

  • Ability to work effectively within a team and willingness to assist where needed.

Nice To Haves

  • Automotive or dealership office experience.
  • Experience with Tekion or another Dealer Management System (DMS).

Responsibilities

  • Review completed deal jackets for accuracy, completeness, and proper organization of required paperwork.
  • Communicate any missing or incorrect documentation to the F&I team to facilitate deal progression.
  • Create and organize new deal jackets for traded-in vehicles.
  • Maintain and update the DOT log.
  • Update title flags and relevant vehicle information within the Tekion system.
  • Scan and electronically file completed deals and repair orders.
  • Verify the clarity, completeness, and proper filing of scanned documents before shredding physical copies.
  • Process wholesale deal recaps and intercompany deals upon receipt.
  • Track missing paperwork and assist in resolving documentation discrepancies.
  • Handle customer and dealership information with a high degree of confidentiality and professionalism.
  • Provide general administrative support to the dealership office as needed.
