About The Position

Cluster POS is seeking a highly organized and proactive Inventory Manager to oversee the full lifecycle of hardware inventory across our ecosystem, including POS systems (Cluster + Xperio), payment terminals, and Control Plus devices. This role sits at the intersection of operations and finance, ensuring inventory is accurately tracked, properly valued, and efficiently deployed to support growth — without tying up unnecessary cash or creating margin risk. You will be responsible for inventory accuracy, cost integrity, and stock optimization, ensuring we are not overstocked or understocked, and that inventory-related financials (COGS, margins, working capital) are reliable and well understood. You will manage rentals, RMAs, returns, and refurbishment, while working with warehousing and logistics partners to execute effective deployment strategies and introduce 3PL solutions as needed. In addition, you will conduct regular inventory counts, partner closely with Finance on inventory valuation, reconciliations,and forecasting, while leading hardware sourcing and vendor management to ensure reliable and cost-effective operations.

Requirements

  • 3–6+ years of experience in inventory management, supply chain, or hardware operations
  • Experience managing hardware inventory at scale (POS, electronics, or similar)
  • Strong understanding of RMA processes, logistics, warehousing, and vendor management
  • Experience working with 3PL providers and deployment logistics
  • Proven ability to manage multiple inventory streams simultaneously
  • Strong analytical, organizational, and problem-solving skills
  • Experience with inventory management systems / ERP tools
  • Basic understanding of inventory accounting fundamentals (COGS, costing methods, reconciliations)
  • Excellent negotiation and partner management skills

Nice To Haves

  • Experience in fintech, payments, or POS ecosystems
  • Familiarity with payment terminal lifecycle management
  • Experience sourcing hardware in high-growth or startup environments
  • Exposure to international logistics or multi-region inventory operation

Responsibilities

  • Own and manage inventory across: POS hardware (Cluster + Xperio), Payment terminals (rentals, returns, replacements), Control Plus hardware
  • Conduct regular inventory counts and audits to ensure high accuracy
  • Maintain real-time inventory tracking systems and reporting
  • Oversee receiving, fulfillment, shipping, and distribution operations
  • Manage payment terminal rental lifecycle, including returns and redeployments
  • Lead RMA processes, including defective units and replacements
  • Handle returns, refurbishment, and redeployment workflows
  • Work closely with warehousing partners to ensure efficient storage and deployment strategies
  • Evaluate and implement 3PL partners to scale deployments and improve customer onboarding
  • Oversee inventory planning and consolidation across Canada and the USA
  • Maintain accurate inventory costing (FIFO / weighted average / standard cost)
  • Partner with Finance to reconcile inventory subledger to the general ledger
  • Track and explain inventory variances (shrinkage, write-offs, margin impacts)
  • Monitor slow-moving and obsolete inventory and recommend actions
  • Ensure inventory is properly valued and audit-ready at all times
  • Support month-end close with inventory reporting and analysis
  • Partner on forecasting, demand planning, and working capital optimization
  • Source new hardware products and vendors aligned with business needs
  • Negotiate pricing, contracts, and supplier agreements
  • Maintain strong relationships with vendors, logistics, and repair partners
  • Build scalable processes and track KPIs (inventory accuracy, turnover, RMA rates, DIO)
  • Identify and fix root causes of discrepancies (not just adjust them)
  • Collaborate cross-functionally with Product, Sales, Customer Success, and Finance
  • Act as a central connector across teams to ensure alignment and efficiency
  • Oversee office administration functions across all business units
  • Manage and support administrative staff to ensure smooth day-to-day operations
  • Take on additional strategic and operational initiatives as needed to support business growth
