About The Position

The Intramural Student Engagement Coordinator is responsible for the ongoing development, implementation and evaluation of programs and initiatives supporting the Intramural (IM) Student Staff, including recruitment, onboarding, training, professional development, recognition, academic support, and administration. This role also serves as the lead and Race Director for the UBC Triathlon, encompassing responsibilities such as staff training, event scheduling, registration coordination, marketing, site and equipment management, risk management, route planning, permit acquisition, and evaluation. The position requires regular evening and weekend work, and at times, extended hours. Reporting to the Director, Intramurals and Recreation, the coordinator manages two student staff teams: Program Development and Officials Development. As a member of the Intramural professional staff team, the incumbent collaborates with colleagues across UBC and the Department of Athletics & Recreation to develop and deliver programs and services that foster a culture of learning, leadership, involvement, and service for 120 student volunteer staff, 180 league officials, and external volunteers. Athletics & Recreation, a division within the VP Students Portfolio, is responsible for shaping the student experience and learning environment, with a team of approximately 100 employees serving over 20,000 students through recreational programming, varsity teams, and competitive club teams.

  • Minimum of two years experience or the equivalent combination of education and experience.
  • Relevant experience in a post-secondary environment in student development or sport and recreation program development.
  • Experience coordinating complex programs including development, planning, and implementation of ideas collaboratively with stakeholder groups.
  • Exceptional communications skills, both verbal and written.
  • Ability to communicate well in an intercultural environment.
  • Proven ability to organize recreational events and coordinate student development programs.
  • Ability to lead others and to function as an effective team member.
  • Ability to deal with a diversity of people in a calm, respectful, and effective manner.

Nice To Haves

  • Undergraduate degree in an area of Student Development, Education or Human Resources preferred.
  • Experience with Adobe Creative Suite and functional understanding of sport officiating is an asset.

Responsibilities

  • Develops, implements and evaluates all IM student staff recruitment, hiring, training, onboarding, professional development, recognition, academic and admin strategies in consultation with IM programming staff.
  • Develops and implements recruitment and hiring timelines and formats for all IM staff.
  • Oversees the development, execution and evaluation of orientation and welcome programs including: IM student staff hiring orientation; September Welcome Back, Program Development, Director and Full Staff retreats (Aug-Sep) and January Welcome Back Retreat (Jan).
  • Works with external partners, program development and IM professional teams to ensure the content and delivery of Leadership, Inclusivity, Health & Safety, Crisis & Emergency Management training programs is current and effective.
  • Develops, coordinates and delivers strategic recruitment of Intramural staff with support from marketing team, including volunteers, officials and day of external volunteers.
  • Leads, coordinates and delivers on staff recognition and awards initiatives including term end banquets (Dec and Apr), intramural staff year end awards and ongoing staff recognitions programs.
  • Leads and oversees personal and professional development programs and opportunities including: Intramural board of directors, alumni summits and conferences - UBC SLC, NIRSA Canada.
  • Monitors academic standard adherence and continues to develop academic support programs.
  • Works with Program Development and Officials Development to ensure that all social programs are consistent with departmental standards and expectations.
  • Ensures all administrative functions including record keeping, communication, and ordering of staff clothing, are performed in a timely manner.
  • Develops and implements Officials Development department strategy, responsibilities and goals each year.
  • Works with the Coordinator, League Sports to development and implement league specific responsibilities.
  • Oversees and delivers on officials management functions including payroll, hiring and training requirements, employment agreements, evaluation, community building and development.
  • Plans and manages all aspects of the UBC Triathlon including, but not limited to staffing, event planning, participant communication, registration, event management and delivery, and evaluation.
  • Works alongside the Coordinator, Events to manage the event team student staff specific to the UBC Triathlon event.
  • Oversees race promotion in conjunction with the Marketing Coordinator by taking the lead on the delivery of materials, outreach to community partners and communications.
  • Responsible for ensuring the details and purchasing of all venues, equipment, and participant giveaways in a timely and coordinated manner.
  • Oversees the delivery of an exceptional participant experience including the administration of all registration, participant updates, pre-race procedures, and event day procedures.
  • Researches, recruits and hires contracted event officials and other event management personnel as appropriate.
  • Manages event partnerships.
  • Works with campus and community groups to ensure that all race routes are safe and have been authorized by the appropriate governing agencies including all route permitting and race sanctioning.
  • Provides additional support with respect to safety, risk management, course design and the consultation process (Director, Intramurals and Recreation).
  • Prepares program evaluation tools for both administrators and participants, carries out such evaluations, summarizes the findings and makes appropriate changes as deemed necessary.
  • Ensures measures are in place to ensure a safe and reduced risk experience for program participants.
  • Recruits, hires, trains, manages and evaluates the IM Program Development Team and their three portfolios: Leadership & Development, Staff Administration, External Development.
  • Recruits, hires, trains, manages and evaluates the Officials Development Director and team.
  • Assists with major UBC Intramural programs including: Staff and Faculty Sports Day, Vancouver Summer Program, Day of the LongBoat, Lace Up for Kids and Storm the Wall.
  • Assists in the developing, implementing, monitoring, and evaluation of departmental policies and procedures.
  • Analyses statistics and data for program activities and implements changes accordingly.
  • Maintains fiscal accountability, assists in the preparation of budgets, and reconciles all assigned accounts on a monthly basis.
  • Attends meetings, retreats and completes other tasks and duties as required.
