About The Position

The Virginia Department for the Deaf & Hard of Hearing is seeking an Interpreter Services Coordinator to coordinate the VDDHH Interpreter Services Program. This position provides direct customer service and program support to the Interpreter Services Program by coordinating requested interpreter services for Virginia State Agencies, the Supreme Court of Virginia, the Virginia Court System, and other organizations throughout the Commonwealth of Virginia as appropriate. This position also provides programmatic information to consumers, creates informational material, processes payment vouchers/invoices for interpreter services, performs related data processing, and maintains accurate and appropriate records of such transactions. This position is also responsible for ensuring all interpreters whose services are coordinated are appropriately qualified and registered with VDDHH and eVA.

Requirements

  • Considerable knowledge of deaf culture and the communication requirements of persons who are deaf and hard of hearing, specifically in the area of interpreting needs and services.
  • Demonstrated ability in accurate data entry, data management, and detail-oriented tasks.
  • Demonstrated ability to work independently in support of Agency and Program priorities, work scheduled days / hours, and work in a team environment
  • Understand and appropriately apply established policies and procedures to individual situations; in unique or special situations, research and recommend / implement appropriate problem resolution, and adapt to change
  • Demonstrated effective written, verbal, and sign language communication skills with a diverse customer base.
  • Professional experience delivering programs for deaf, hard of hearing and/or deafblind individuals.
  • Professional experience providing administrative support.
  • American Sign Language Proficiency Interview (ASLPI) evaluation at Level 2+ or equivalent is required for the position

Responsibilities

  • Coordinates and schedules qualified interpreters and CART providers for state agencies and courts.
  • Coordinate and refer interpreters/CART services promptly.
  • Provide guidance on effective communication and interpreter use.
  • Maintain accurate Interpreter Request Forms and update changes within one day.
  • Ensure all required information is complete for efficient service delivery.
  • Contact qualified contract interpreters to secure coverage.
  • Communicate with state agencies, courts, and public contacts professionally.
  • Organizes and maintains interpreter records and program data.
  • Maintain spreadsheets and tools for statistical tracking.
  • Update the Directory of Qualified Interpreters.
  • Organize ISP files and archive materials.
  • Prepare annual vendor mailings.
  • Maintain and distribute listings for emergency response and specialty interpreters.
  • Provides information, support, and guidance on ISP procedures to interpreters, agencies, and courts.
  • Provide orientation and assistance on interpreting procedures, billing, and payment.
  • Develop presentations and informational materials.
  • Support agency projects and initiatives.
  • Coordinate with VQAS staff to maintain accurate level information.
  • Respond promptly and professionally to inquiries.
  • Research interpreting-related topics and support special projects.
  • Assist with administrative tasks and emergency response as needed.
  • Verifies and processes interpreter and CART invoices.
  • Review invoices for accuracy against request forms.
  • Research and correct discrepancies.
  • Prepare vouchers and submit payments per policy.
  • Total monthly interpreter/CART expenditures.
