About The Position

USF World is a division comprised of units across Tampa, St. Petersburg, and Sarasota dedicated to promoting education abroad, supporting international students and scholars, managing international partnerships, providing international travel risk and security services, managing the Peace Corps Prep program, supporting a dedicated recruiter, tracking and documenting international research collaborations and the global footprint of faculty, students, and staff, collecting data related to international activities at the University, international alumni development and outreach, and the marketing and communication of USF World programs and initiatives. USF World comprises over 70 staff and a budget of approximately $4.5 million. Its clients include USF faculty developing international academic experiences, curriculum, and research collaborations; administrators promoting the global priorities of USF; staff responsible for supporting international activities across campuses, colleges, and other units; current and prospective students coming to USF from other countries and U.S. students seeking global experiences; as well as university partners from abroad and foreign dignitaries. Community partners include local, state, national, and international leaders of government and public and private organizations, including other institutions of higher education, military, business, and industry. The International Program Administrator serves as a key member of USF World’s Global Learning team and is responsible for the development, management, advising, and assessment of a portfolio of international academic programs, including both faculty-led and affiliate study abroad programs. This position provides end-to-end oversight of academic program operations, integrating program design, budgeting, student advising, enrollment management (in conjunction with the recruitment team), risk mitigation (in conjunction with the Global Safety and Health team), and post-program evaluation. Operating with a high degree of autonomy, the International Program Administrator partners with faculty, affiliate providers, and campus stakeholders to ensure that international programs are academically sound, financially viable, accessible to students, and aligned with university policies and strategic priorities. The role combines advanced administrative expertise with advising responsibilities to enhance student success and support high-quality global learning experiences. Reporting to the Senior Associate Director of Education Abroad within USF World Global Learning, this complex administrative role requires extensive knowledge of university policies, study abroad processes, pre-departure requirements, and support for in-country programming and logistics.

Requirements

  • Master’s degree in education or a field of study related to the academic program, or a Bachelor’s degree in those same fields with a minimum of two years of experience.
  • Four years of direct experience for a bachelor’s degree.
  • Employment eligibility requirements in the U.S.
  • Extensive knowledge of university policies, study abroad processes, pre-departure requirements, and support for in-country programming and logistics.

Responsibilities

  • Serve as the primary administrative advisor for students participating in assigned programs. Advise students through program application (application workshops, etc.), assist in outlining questions for academic considerations, enrollment processes, and pre-departure obligations.
  • Review applications for completeness and eligibility, make admission decisions, and manage program enrollment.
  • Resolve complex student issues by interpreting policy and collaborating with campus offices such as Academic Advising, Financial Aid, Student Health Services, the Dean of Students, and Student Accessibility Services.
  • Support student retention and success through proactive outreach and individualized advising in order to improve student yield.
  • Develop and manage program budgets, ensuring inclusion of all anticipated costs and appropriate faculty compensation (in conjunction with USF World Fiscal Business team and the Global Learning leadership).
  • Coordinate with internal units and external vendors to schedule payments and monitor expenditures.
  • Evaluate financial performance of programs and make recommendations to improve sustainability and cost-effectiveness.
  • Provide budgetary data and analysis to support planning and decision-making.
  • Oversee assigned affiliate programs, serving as the institutional liaison between USF and third-party providers.
  • Evaluate affiliate program offerings, contracts, services, and outcomes to ensure quality, compliance, and student support.
  • Coordinate advising materials, enrollment processes, and pre-departure requirements specific to affiliate programs.
  • Participate in the expansion and strategic management of the affiliate program portfolio.
  • Collect and analyze program data including enrollment, demographics, evaluations, and service quality.
  • Provide feedback to faculty, partners, and leadership to inform future program development and improvements.
  • Contribute to institutional reporting, accreditation support, and data requests related to global learning.
  • Performs other duties as assigned.
