About The Position

The Internal Fund Administrator will play a central role in the oversight, monitoring, and reporting of a fund of funds complex, serving as the primary point of coordination across third-party fund administrators and auditors. This role blends operations, valuation oversight, and investment support, and is critical to ensuring the accuracy, timeliness, and integrity of fund reporting for investment committee decision-making and regulatory compliance. This role sits at the intersection of fund accounting, valuation oversight, and investment reporting, serving as the internal control point for a complex alternatives platform. This position is critical to the firm’s fiduciary and operational integrity, ensuring that fund valuations are accurate and prepared in accordance with valuation policy, investor reporting is consistent and reliable, and investment decisions are supported by high-quality data.

Requirements

  • 7+ years experience in private equity / private credit / investment operations or fund administration
  • Understanding of capital call / distribution mechanics
  • Understanding of private equity and alternatives structures
  • Understanding of fund performance metrics (IRR, MOIC, DPI)
  • Experience with shadow accounting / shadow NAVs
  • Experience with reconciliation processes
  • Advanced Excel skills required
  • Attention to detail and accuracy
  • Ability to independently identify and resolve discrepancies
  • Ability to synthesize data into actionable insights
  • Clear and concise communication skills

Nice To Haves

  • Fund of funds platform experience preferred
  • Experience with systems such as Orion, Black Diamond, Addepar, Arch, or similar platforms

Responsibilities

  • Serve as the primary liaison with third-party fund administrators for all underlying funds and vehicles
  • Review and monitor NAV packages, capital account statements, and transaction activity (capital calls, distributions, fees)
  • Escalate discrepancies or irregularities and ensure timely resolution
  • Act as primary point of contact for external auditors
  • Coordinate annual audit process across fund entities, including PBC requests, valuation support documentation, and reconciliations and tie-outs
  • Review audited financial statements for consistency with internal records
  • Prepare and maintain quarterly shadow valuations for each fund
  • Independently track and reconcile capital activity, NAV movements, and performance metrics
  • Perform capital account roll forwards, including contributions, distributions (including recallable capital), and net asset value changes
  • Identify and investigate valuation discrepancies, timing differences, and stale or inconsistent pricing
  • Prepare quarterly fund monitoring and oversight reports for the Investment Committee, including fund performance (IRR, MOIC, DPI/TVPI), portfolio exposures, cash flow activity, and manager-level trends
  • Highlight performance drivers, risks and anomalies, and notable events across underlying managers
  • Reconcile data across internal systems (e.g., Opto / Arch / Orion / shadow books), custodians, and underlying fund reports
  • Maintain robust documentation and audit trail for all reconciliations
  • Enhance internal processes for valuation consistency, reconciliation workflows, and reporting efficiency
  • Develop and document controls aligned with SEC expectations
  • Support due diligence on new fund investments, responses to audit or regulatory inquiries, and special projects across the alternatives platform
