Working closely with teams across the organization, this position brings together ideas, insights, and content to create communications that inform, inspire, and foster a stronger sense of connection and engagement.

Requirements

  • Associate’s degree - Business Administration or related field strongly preferred
  • 5+ years of administrative experience in an office environment
  • 2+ years of desktop publishing software experience
  • 2+ years of internal communications and design experience
  • Demonstrated ability to develop, edit, and implement communications while adhering to brand guidelines.

Responsibilities

  • Deliver employee communications that support the company’s mission and vision, key business objectives, long-term goals, and key projects by using multiple communication channels and technology (e.g., intranet, video, email, digital messaging, town halls, etc.) to reach staff in all areas of the business.
  • Deliver communication strategies, integrated tactical communication plans and compelling messages for major programs/initiatives that drive key elements of HR’s strategy, including but not limited to performance development, total rewards (incl. compensation and benefits), talent development, work/life effectiveness, and wellness.
  • Deliver content and functionality within internal messaging that aligns with our communications strategy. Identify articles, write content, and publish newsletters, partner with internal subject matter experts to identify industry news, topics, and trends.
  • Utilize text, images, and content to craft narratives that captivate employees, supported by both measurable metrics and anecdotal feedback.
  • Serve as a communications business partner to business teams throughout the organization.
  • Demonstrate thought leadership on the timing and cascading of key communications.
  • Work independently and in partnership with stakeholders and the HR team to develop clear and compelling messaging to drive awareness, excitement, and advocacy with various internal audiences.
  • Support the delivery of joint multi-media communications such as Town Halls, Huddles, training and informational sessions, digital messaging, etc.
  • Develop and maintain a calendar of year-to-year specific needs for internal communications.
  • Support and collaborate with the HR team in planning corporate events. Ensure that the culture, values and purpose are abundantly evident to participants, both in terms of the messaging and environment.
  • Provide regular reporting metrics to management team to show effectiveness of content and delivery method. Include recommendations to improve approach for future communication communications, events, and activities as needed.
  • Create and design various company forms, ensuring they are clear, concise, and easy to use.
  • Utilize software tools to design forms that are both functional and visually appealing (meeting brand guidelines).
  • Collaborate with different business areas to understand their form requirements and gather necessary information.
  • Ensure all forms adhere to company policies, industry standards, and legal requirements, including obtaining approval from the Legal and Actuarial departments to meet individual state and/or federal regulatory requirements.
  • In collaboration with IT development, validate that forms are designed (i.e. field names, field orders, etc.) accurately and efficiently.
  • Be responsive with diagnosing and resolving form issues as they are identified.
  • Create, manage, and maintain the Forms Repository as the single source for regulatory compliance. Regularly review and update documentation and guidelines to enable self-service for end users.
  • Provide regular reporting metrics to management team in relation to forms to include but not limited to, project summary, development hours and quantities of forms.
  • Deliver content and functionality within the intranet that aligns with our communications strategy to engage employee readership.
  • Utilize text, images, and content to craft narratives that captivate employees, supported by both measurable metrics and anecdotal feedback.
  • Demonstrate thought leadership on the placement and timing of content within the intranet.
  • Proactively diagnose and resolve issues related to the intranet site and its content, ensuring efficient and effective solutions.
  • Continuously oversee third-party vendor sites for updates and security vulnerabilities. Inform leadership about these updates and issues, providing recommendations on subsequent actions and their potential impact.
  • Proactively provide training and guidance to end users on intranet navigation and functionality.
  • Provide regular reporting metrics to management team to show effectiveness of content and delivery method. Include recommendations for improving the approach for future intranet changes.
  • Prepare and submit monthly reports as requested.
  • Ensure standard operating procedures for areas of responsibility are updated as changes occur and formally reviewed at least annually.
  • Ensure service level agreements are updated as changes to operating procedures are made and published (as applicable) for customer review.
  • Support and collaborate with the HR team in planning corporate events.
  • Provide back-up support and guidance to other members of the HR team as needed.
