About The Position

Reporting to the Lead Coordinator, Student and Campus Support, the incumbent is responsible for the organization of language test sessions at Language Testing Services, including registration and payment, test delivery, grading and score processing, and client relations. Ensuring the efficient administration of tests from registration to score reporting helps OLBI maintain its well-respected national prominence in language testing. The incumbent also provides essential administrative support to ensure smooth functioning of the Language Testing Services office.

Requirements

  • Bachelor’s degree in a relevant field, or an equivalent combination of education and work experience
  • 1-2 years of administrative experience
  • Strong organizational and problem-solving skills.
  • Demonstrated initiative and ability to explore and learn new technology.
  • Knowledge of security issues relating to information management.
  • Excellent interpersonal and communication skills.
  • Ability to work independently, meet deadlines, and establish priorities.
  • Ability to work flexible hours (evenings and weekends) during peak periods.
  • Bilingualism: High proficiency in both English and French

Responsibilities

  • Coordinates logistics of all testing sessions: Proposes and sets annual testing calendar, reviews and updates website and online store with dates and registration forms. Based on projected test attendance, predicts space and staffing requirements; evaluates the appropriateness of potential testing locations and rooms; reserves testing rooms; assembles all testing materials, including uploading of test content to online testing platform and verifying its quality. May assist in preparing test data sets for validation analysis.
  • Manages testing sessions: In collaboration with the Language Testing Administrative Assistant, acts as chief invigilator and registrar for language testing. In collaboration with Lead Coordinator, Student, and campus support recruits test session staff, including room supervisors and invigilators. Manages staff (up to 30 employees for large sessions), troubleshoots concerns and non-routine problems, addresses technical issues and test-taker complaints. Develops training manuals and presentations; conducts training sessions.
  • Manages test scoring: Schedules scoring staff (interviewers and test raters) for each test session. Coordinates test score processing: In collaboration with the Language Testing Administrative Assistant, supervises scoring, data entry, and report processing; ensures that mandated test reporting deadlines are met and that online tests are evaluated in a timely fashion. Monitors test results for abnormalities and identifies tests to be re-evaluated; investigates potential instances of cheating. May be called upon to review scores or (re)evaluate tests. May collaborate in the development of rather training materials and presentations.
  • Ensures that all online assessments are functionally sound, including content, user accounts, permissions, etc.: In collaboration with the Head of Language Testing Services, collaborates in procedures training for raters and testers and assists with quality control of test content by reviewing test materials and creating data sets for analysis.
