About The Position

The Facilities Director provides strategic leadership and operational oversight for all aspects of Grace Fellowship Church’s facilities, ensuring that buildings, grounds, equipment, and related systems are safe, secure, functional, well-maintained, and conducive to effective ministry. This role is responsible for facilities planning and maintenance, staff and volunteer leadership, risk management, safety and security coordination, capital improvement projects, construction, vendor and contract management, utilities, grounds and landscaping, custodial services, traffic and parking, and regulatory compliance. The Facilities Director works collaboratively with church leadership and ministry teams to ensure that current facilities support the Church’s mission while preparing for future growth, expansion, and potential multisite ministry.

Requirements

Demonstrated knowledge and experience in facilities management, including building systems, preventive maintenance, repairs, and day-to-day operations.
Strong organizational, financial, and personnel management skills, including budgeting, resource allocation, and cost control.
Working knowledge of applicable building codes, safety standards, regulatory requirements, and compliance practices.
Experience managing vendors, contractors, service agreements, and construction or capital improvement projects.
Strong project management, critical-thinking, troubleshooting, and problem-solving skills.
Excellent written and verbal communication skills, with the ability to collaborate effectively across departments and with diverse stakeholders.
Strong interpersonal skills, including active listening, conflict resolution, negotiation, and relationship building.
Demonstrated ability to recruit, develop, lead, and manage staff and volunteer teams.
Proficiency with office software, work-order systems, and other relevant facilities management technology.
Ability to balance competing priorities, respond effectively to urgent situations, and exercise sound judgment.

Responsibilities

Provide leadership and oversight of the Church’s facilities operations, ensuring that buildings, grounds, equipment, and systems are safe, secure, clean, functional, and properly maintained.
Coordinate communication between ministry staff and the Facilities Department to ensure timely responses to facility-related needs and requests.
Lead, develop, and manage facilities staff, establishing clear expectations, priorities, and accountability for performance and service.
Ensure that facilities are prepared and properly staffed for Sunday gatherings, ministry activities, special events, and other scheduled uses.
Oversee preventive maintenance, repairs, custodial services, utilities, groundskeeping, landscaping, traffic, and parking operations.
Develop and implement facilities procedures, maintenance schedules, and building-use practices in collaboration with the Senior Director of Operations.
Identify opportunities to improve facility functionality, operational efficiency, stewardship of resources, and the overall ministry environment.
Recruit, train, develop, and oversee facilities volunteers, creating meaningful opportunities for congregational engagement and service.
Develop and implement short- and long-term facilities plans that support the Church’s ministry priorities, strategic objectives, and anticipated growth.
Manage maintenance, renovation, and improvement projects from planning and budgeting through execution, completion, and closeout.
Oversee capital improvement projects, construction, building expansion, and facility renovation, ensuring appropriate coordination, quality, schedule, budget, and safety.
Coordinate with church leadership, ministry teams, architects, engineers, contractors, vendors, and local authorities as required for facilities projects.
Support logistical and facilities planning associated with church planting, new locations, and the development of a multisite ministry strategy.
Evaluate facility conditions, infrastructure needs, and future capacity requirements; recommend priorities and improvements to church leadership.
Ensure that projects and facility modifications comply with applicable codes, permits, regulations, and approved Church policies.
Proactively identify, assess, and prioritize risks related to facilities, operations, safety, security, and the protection of people and property.
Develop, implement, and maintain appropriate procedures and protocols to mitigate risks and reduce the likelihood and impact of emergencies or other adverse events.
Coordinate emergency preparedness and response planning, including maintaining emergency procedures and serving as a primary facilities contact during emergencies.
Collaborate with church leadership and relevant safety and security personnel to support a safe environment for staff, congregants, volunteers, and visitors.
Oversee the administration and ongoing review of the Church’s commercial and liability insurance policies in coordination with the appropriate leadership and insurance representatives.
Recommend and implement policies, procedures, and facility improvements that strengthen risk management, safety, security, and regulatory compliance.
Monitor applicable regulatory requirements and coordinate inspections, permits, and corrective actions as necessary.
Oversee the effective use, organization, and maintenance of common office areas, including staff workspaces, mailroom, storage areas, and other shared spaces.
Manage office furniture, workspace configurations, and facility-related arrangements to support staff productivity and ministry effectiveness.
Coordinate space planning and facility-use adjustments in response to changing ministry, staffing, and operational needs.
Establish and maintain appropriate standards for the use, organization, and stewardship of office and shared spaces.
Develop and recommend the annual Facilities Department operating budget in alignment with Church priorities and financial guidelines.
Monitor departmental expenditures, manage approved budgets, and maintain appropriate financial controls and accountability.
Evaluate vendor proposals, service agreements, and project costs to promote responsible stewardship and cost-effective operations.
Maintain appropriate facilities records, including maintenance schedules, work orders, inspections, contracts, warranties, and project documentation.
Provide regular updates to the Senior Director of Operations regarding facility conditions, budget performance, project progress, operational needs, and significant risks.
Build and maintain constructive working relationships with church staff, ministry leaders, congregants, volunteers, vendors, contractors, community members, and local officials.
Partner with ministry teams to understand their needs and provide facilities support that enables effective ministry.
Communicate facility-related priorities, disruptions, projects, and operational changes clearly and in a timely manner.
Represent the Church professionally and courteously in interactions with external partners, contractors, regulatory agencies, and community stakeholders.
Promote a culture of teamwork, service, accountability, safety, and continuous improvement within the Facilities Department.
Perform other duties as assigned that are consistent with the position’s purpose, responsibilities, and organizational needs.
