About The Position

Pathways Forward is seeking a dedicated and experienced Intake Supervisor to lead and oversee the day-to-day operations of the Intake Department within the Mental Health Department. This leadership role is responsible for supervising intake case management staff while ensuring high-quality, compliant, and coordinated mental health services. The Intake Supervisor provides leadership, clinical coordination, and administrative oversight for the intake and admission functions within the Harrisburg Office. This is an exempt role and is not eligible for bargaining unit status.

Requirements

  • Accessibility to a reliable vehicle is necessary.
  • Act 33 and 34 Clearances required.
  • Bachelor's degree in sociology, social welfare, or related field; and two (2) years of direct care experience; OR an RN with three (3) years of experience.
  • This is a confidential management position and not eligible for bargaining unit status.

Responsibilities

  • Oversee the day-to-day operations of the intake department to ensure timely access for incoming referrals.
  • Review and approve all intake documentation to ensure clarity, clinical accuracy, and adherence to regulatory standards.
  • Coordinate and monitor the intake schedule to ensure consistent staffing coverage for walk-ins and scheduled appointments.
  • Assign intakes to staff and monitor completion timeframes to meet agency and county performance standards.
  • Serve as a primary contact for referral sources, mental health providers, and community agencies regarding initial access to services.
  • Ensure that every individual receives an initial financial liability determination and health insurance verification at the time of intake.
  • Oversee the initial collection and entry of Social Determinants of Health (SDOH), POMS data, and initial clinical diagnoses.
  • Monitor MA eligibility for new cases and facilitate the initial application process for Medical Assistance where required.
  • Verify that necessary Release of Information (ROI) forms and essential intake paperwork are completed and entered correctly.
  • Collaborate with the BSU Coordinator to manage the transition of cases from intake to ongoing administrative case management.
  • Supervise the caseworkers and administrative staff assigned to the Harrisburg intake department.
  • Conduct structured monthly supervision to review work quality, documentation standards, and performance metrics.
  • Co-conduct staff meetings in collaboration with leadership and communicate operational updates.
  • Serve as the on-call supervisor as assigned and guide staff through emergency situations or commitment proceedings during the intake phase.
  • Perform other duties as assigned by the Deputy Director of Mental Health Services.
