About The Position

Peak Performance Physical Therapy is looking for an organized, friendly, and detail-oriented Intake Specialist to support our new patient referral and scheduling process. This position plays a key role in helping new patients take the first step in their care with us. The Intake Specialist is often one of the first points of contact for new patients, referral sources, and community members, so strong communication, professionalism, and a helpful attitude are essential. The ideal candidate enjoys talking with people, staying organized, following through on details, and helping patients feel supported from their first phone call through their first scheduled evaluation.

Requirements

  • Friendly, professional, and comfortable speaking with patients by phone.
  • Highly organized and able to manage multiple tasks throughout the day.
  • Detail-oriented, especially with patient information, insurance verification, and documentation.
  • Strong communicator with excellent phone etiquette.
  • Reliable, consistent, and able to follow through on daily, weekly, and monthly responsibilities.
  • Comfortable working in a fast-paced healthcare setting.
  • Able to maintain a positive and supportive patient experience.
  • Team-oriented and willing to help where needed.
  • Confident using computer systems, logs, and documentation tools.

Responsibilities

  • Manage the new patient intake process from referral or inquiry through evaluation scheduling.
  • Monitor and manage incoming referrals, scripts, faxes, and online appointment requests.
  • Call new patient referrals and schedule evaluations.
  • Accept incoming calls related to referrals, evaluations, and scheduling.
  • Collect and enter patient information, including demographics, insurance details, referral information, and care-related information.
  • Create new patient cases accurately in the system.
  • Verify insurance benefits and create benefit sheets for scheduled evaluations.
  • Ensure billing and insurance information is complete before the patient’s first visit.
  • Update and maintain the Referral Log with scheduled, rescheduled, or cancelled evaluations.
  • Make follow-up calls to patients who have not yet scheduled.
  • Sort and route documentation from the inbound queue, including authorizations, medical record requests, electronic payments, and other patient-related documents.
  • Communicate with the Authorization Specialist regarding authorization needs, denials, or missing information.
  • Support patients by answering questions and educating them on Peak Performance Physical Therapy services.
  • Assist the Front Desk team when needed.
  • Send weekly referral updates and maintain accurate referral tracking.
