About The Position

TLC Wellness, part of The Lincoln Center for Family and Youth, is seeking an organized, responsive, and systems-oriented Intake Coordinator to serve as the first point of contact for individuals and families seeking care. This role is central to ensuring a smooth, supportive, and efficient intake experience, while also assisting with administrative operations and billing support. It is an ideal opportunity for someone who enjoys both working directly with people and building the systems that support a growing organization. As part of a rapidly expanding team, this role offers the opportunity to create, refine, and own intake processes that directly impact access to care and organizational growth.

Responsibilities

  • Respond to all new client inquiries within 24 hours
  • Guide individuals and families through the intake process with clarity and support
  • Schedule intakes and match clients with appropriate clinicians
  • Build, refine, and manage intake workflows and tracking systems
  • Identify gaps in current processes and implement improvements
  • Help create scalable systems to support continued growth
  • Serve as a key point of contact for referral sources and community partners
  • Track referral sources and support follow-up and outreach efforts
  • Collaborate with leadership on marketing and referral pipeline growth
  • Support day-to-day office operations and scheduling coordination
  • Help maintain organization across systems, communication, and documentation
  • Monitor clinician availability and support efficient scheduling flow
  • Assist with billing-related tasks specific to OCY services
  • Ensure documentation is complete and supports billing requirements
  • Coordinate with billing supports to resolve outstanding items
