About The Position

The Intake Registration Clerk is responsible for interviewing incoming patients or their representatives, preparing registration forms, verifying insurance eligibility, benefits, and authorization for services. This role processes charges into the computer system for services rendered and also encompasses the functions of cashier, telephone operator, and health information clerk. The position requires obtaining and verifying accurate social, financial, and personal data, as well as insurance information. The clerk determines the type of services needed, obtains necessary signatures, and explains clinic policies regarding registration and third-party payers. A key responsibility is obtaining and completing MSP forms for Medicare patients and securing proper authorizations before services are rendered. The role involves documenting account activity, performing basic health information functions such as assembling charts and maintaining filing systems, and ensuring the confidentiality and security of patient health information. Additionally, the Intake Clerk provides feedback on departmental processes, handles record release authorizations, assembles nightly documentation for HIM, and responds to departmental inquiries. General clerical duties include answering telephones, typing, compiling reports, and filing/scanning lab reports and charts. Financial functions include balancing cash drawers, accepting payments, and generating receipts. The position requires a thorough understanding of Admission Policies and Procedures and proficient use of the HIS Affinity system.

Requirements

  • High school education or equivalent.
  • Mathematical ability required to review statistical data on various financial records.
  • 10 key adding machine, typing experience, and computer friendliness is required.
  • Knowledge of filing systems and copy machines.
  • Accuracy is more important than speed.

Nice To Haves

  • Experience of three years in a patient registration environment, (preferably hospital) and knowledge of medical terminology is preferred.
  • Bilingual preferred (Spanish/English).

Responsibilities

  • Obtains and verifies accurate registration data, including social, financial, and personal data from the patient or representatives, and insurance forms, copies of insurance cards and/or patient identification.
  • Responsible for the registration process, determining the type of services needed for registering patients.
  • Obtains necessary signatures on registration forms and explains clinic policies regarding registration and third-party payers.
  • Obtains MSP forms signed and completed properly and explains this form to Medicare patients.
  • Must obtain proper authorizations prior to services being rendered and take appropriate action as necessary.
  • Documents account activity and financial status as necessary in notes.
  • Performs basic Health Information functions (when paper charts are in use): Assembles chart in proper order, creates filing chart using correct terminal digit stickers on manila folders, and creates medical record deficiency slips.
  • Maintains the filing system in the designated area, ensuring confidentiality and security of patient health information.
  • Provides feedback as to the quality, accuracy, and timeliness of other departments related to the admission and billing process.
  • Obtains authorization for release of records and verifies the validity of requestor.
  • Assembles nightly documentation for transportation to HIM department for coding.
  • Timely responses to requests and inquiries by department coordinators or manager.
  • Performs general clerical functions: answers telephones efficiently, politely, and as quickly as possible; types; compiles necessary reports.
  • Responsible for filing/scanning: Lab and ancillary reports into medical record; completed charts in the permanent file system in correct terminal digit order; incomplete charts into the incomplete chart area.
  • Maintains filing systems to ensure accuracy and completeness of work within the department.
  • Responsible for financial functions such as balancing cash drawers, accepting payments, and generating receipts for patients & guarantors.
  • Demonstrates an understanding of Admission Policies and Procedures in performing job duties and instructing patients.
  • Utilizes the HIS Affinity system to its full capacity via CRT and continues to grow in the use of the computer as its capabilities expand.
  • Promotes a positive patient/interfacility relation and a caring environment.
  • Maintains confidentiality of patients, services rendered, and financial or demographic information.
  • Cross train to perform the above mentioned functions in other outpatient departments.
  • Performs similar job duties as assigned in multiple outpatient departments.
