About The Position

This position is responsible for assisting the Case Manager in obtaining additional documents, assisting in the processing of support services request forms, and performing data entry into the organization’s Management Information System (MIS). The role also handles all incoming calls, directing them as necessary and/or providing general information on program services. This position requires strong interpersonal skills to interact effectively with a diverse group of clients and staff members, and the ability to function as a team member. The Intake/Certification Specialist must always be sensitive and respectful of the veterans and families served. Candidates interested in this position may be placed in either the HOUSING or EMPLOYMENT programs. In the HOUSING program, this support position assists veterans' families seeking assistance, provides initial information on program services, performs intake procedures to determine eligibility, completes the targeting criteria point system for service priority, and gathers certifying documents for verification. In the EMPLOYMENT program, the role is responsible for conducting client intakes to determine eligibility, verifying applications for veterans, and entering data into the HMIS.

Requirements

  • Must be a high school graduate.
  • At least 2 years of experience in a responsible office position.
  • Experience must include computer knowledge of software programs.
  • Must have access to reliable transportation.
  • Must always have a current Texas driver’s license.
  • Must have applicable automobile liability insurance at all times.
  • Must pass drug testing and background check.
  • All personnel of the organization must be bondable.

Nice To Haves

  • Some college hours are preferred.
  • Experience with general office equipment, i.e., copiers, mailing machines, scanners, and multi-line phone systems is preferred.

Responsibilities

  • Prepare and submit support service requests as needed.
  • Serve as the first point of contact for all applicants, communicating effectively with applicants, clients, staff members, and outside agencies.
  • Learn and apply client eligibility criteria to ensure services are provided only to eligible clients.
  • Answer incoming calls, listen compassionately, and route calls to the appropriate staff in an expeditious and timely manner.
  • Review all enrollment and support service documents for eligibility and compliance.
  • Issue approved support services, retain file copies securely, and follow up on outstanding receipts or support service requests.
  • Refer ineligible applicants to other programs or community agencies.
  • Welcome on-site visitors, determine the nature of their business, and announce them to appropriate personnel.
  • Monitor visitor access and issue passes when required.
  • Receive, sort, and route mail, and maintain and route publications.
  • Maintain fax machines, assist users, send faxes, and retrieve and route incoming faxes.
  • Order, receive, and maintain office supplies.
  • Manage the intake office area operations, including the use of standard office equipment, maintaining necessary office supplies, and applicable logs, sign-in/out sheets, client rosters, and other clerical assignments.
  • Provide program support to the Director of Program Services and Case Managers to achieve program objectives and quality of service.
  • Maintain confidentiality of client information, donors, team members, and the AGIF-NVOP, disclosing information on a need-to-know basis only.
  • Be sensitive to the needs of program participants and treat clients with respect and professional care.
