About The Position

The primary purpose of this position is to assist in the day-to-day operation of the Regional Center, including handling all avenues of public contact, responding to general inquiries, maintaining files and database records, compiling and/or producing reports, processing applications, scheduling meetings and appointments related to application requests, and verifying qualifying documents for application for programs and services offered by Division Services for the Deaf and Hard of Hearing.

Requirements

  • High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.

Responsibilities

  • Assist Consumers and stakeholders through the application process for programs and services.
  • Process incoming and outgoing application packets, along with verification of corresponding documents.
  • Schedule appointments and meetings for consumers to meet with specialists for program related to program requests.
  • Maintain files, records, databases and mailing list-including within SMS and its extensions.
  • Serve as back-up to front desk/reception area.
  • Provide basic information to callers or visitors regarding DSDHH programs and services and local community resources.
  • Upon request, solicits information for the Regional Centers and accurately compiles it into concise professional documents and/or reports.
  • Manages the flow of all relevant documents for the RC manager and staff as related to application request processing, including creating, organizing, filing, copying, printing, and disseminating documents.
  • Assembles quarterly, annual or ad hoc reports, drafts correspondences, procures the necessary signatures, ensures compliance with established procedures and timelines for processing/filing/submitting documents related to applications for programs and services.
  • Assist in scheduling, planning, and promoting outreach activities with Regional Center staff and stake holders.
  • Ensure outreach materials are up to date and always reflect current DSDHH programming and services.
