About The Position

This position supports the operations of the University of Hawaii at Manoa School of Nursing and Dental Hygiene (SONDH) Office of Student Services. The role is temporary with the possibility of conversion to permanent, subject to position clearance and availability of funds. The appointment is expected to begin approximately October 2026 and renewal is dependent on performance, program needs, and/or availability of funds.

Requirements

  • Possession of a baccalaureate degree in management, education, or related field and one (1) year(s) of progressively responsible professional experience with responsibilities for student services and/or office management in an academic environment; or any equivalent combination of education and/or professional work experience.
  • Functional knowledge of principles, practices, and techniques in student academic services, advising, or counseling.
  • Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations, and systems associated with higher education.
  • Demonstrated ability to recognize problems, identify possible causes, and resolve the full range of problems that may commonly occur in student services and/or office management in an academic environment.
  • Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively.
  • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members, and individuals.
  • Demonstrated ability to operate a personal computer and apply word processing software.
  • Self-starter with demonstrated ability to learn new operating systems quickly.
  • Demonstrated ability to be well-organized, multi-task, pay attention to detail, and effectively coordinate projects.
  • Demonstrated ability to exercise good judgment, professionalism, problem-solving, and communication skills with a high standard of customer service.
  • Able to work outside of normal business hours including evenings, weekends and/or holidays.

Nice To Haves

  • Experience in a health professions school in higher education.
  • Working knowledge of UH policies, procedures, and student information systems such as STAR and BANNER.
  • Knowledge and understanding of FERPA regulations.

Responsibilities

  • Manages the day-to-day operations of the Office of Student Services (OSS) Front Desk by serving as the first point of contact for students and visitors, providing a welcoming and helpful presence, and general information about the School and OSS services.
  • Responds to phone calls, directing student inquiries and concerns to appropriate OSS advisors/coordinators.
  • Handles administrative tasks including managing office communications, telephone management, updating bulletin boards, mail sorting, managing office supplies, and maintaining the reception area.
  • Organizes and collaborates with OSS advisors/coordinators in scheduling OSS activities such as new student orientations, informational sessions, and recruitment events, which may occur outside of normal business hours.
  • Assists in the preparation of recruitment materials to enhance school visibility, target identified audiences, and increase enrollment.
  • Prepares admission/application materials, information brochures, and catalogs, and coordinates their distribution.
  • Collaborates with the University Admissions and Records and Financial Aid Offices to support the processing of student admission and progression documents.
  • Verifies enrollment and graduation for licensure, employment, and certifications to the Board of Nursing and educational institutions as instructed by the OSS Director.
  • Maintains individual student records in the student database accurately and up to date.
  • Collects and collates student data, student services surveys, and information requests, and prepares reports and/or recommendations to the OSS Director.
  • Interfaces with campus and systemwide student service departments and offices to maintain effective working relationships and identify best practices in student support services.
  • Coordinates the intake of scholarships/grants/internships applications.
  • Keeps the Director and Admission/Student Affairs committees informed on trends in servicing students inquiring about or attending SONDH programs.
  • Implements new process management and services at the direction of the OSS Director.
  • Ensures that student information released follows FERPA and applicable UH policies and procedures.
  • Develops and maintains a comprehensive office manual of OSS administration policies and procedures.
  • Provides administrative and fiscal support to the Director and to the OSS.
  • May supervise student assistant/s.
  • Keeps abreast of changes in program, admission, policies, and procedures.
  • Maintains competence in current technologies related to office needs (e.g., MS Office Suite, web-hosted services like Skype, GoToMeeting, Zoom), shared drives, listservs, and other applicable University systems.
  • Performs other duties as assigned.
