About The Position

The Inspections Scheduling Coordinator is the central point of contact for scheduling and coordinating all fire protection inspections. Reporting to the Inspections Manager, this full-time role works closely with customers, inspectors, and the A&E Division Scheduler to keep inspections on track and customers informed. Responsibilities include scheduling and confirming inspections, maintaining accurate customer location records in ServiceTrade, supporting collections for accounts with pending inspections, and providing backup assistance to the Inspections Manager. The ideal candidate is organized, detail-oriented, and customer-focused, and handles a fast-paced workload with minimal supervision.

Requirements

  • Proven track record of ability to multi-task with demonstrated attention to detail.
  • Ability to communicate effectively with a wide variety of people, including but not limited to, customers, construction crews, field superintendents and foremen.
  • Demonstrated proficiency with Microsoft Office products, including, but not limited to Microsoft Office, Word, and Excel.
  • High levels of honesty and integrity.
  • Self-reliant go-getter, requiring a minimum of direct supervision.
  • Sufficient reasoning abilities to resolve a variety of business situations ranging from simple to complex.
  • Writing skills must be at a level to produce professional reports and correspondence.
  • A focus on customer service (both internal and external) at all times to provide the highest levels of service commensurate with the quality of work expected at PFP.
  • Ability to apply common sense understanding to carry out instructions.
  • High school diploma or equivalent.
  • A minimum of two (2) years’ experience working in an office environment is required (other significant work experience or industry related work experience will also be taken into consideration).
  • The individual must possess the abilities to read and write in English at a level sufficient to identify, interpret, comprehend, write, and produce various documents and reports.

Responsibilities

  • Customer Service.
  • Coordination and scheduling of all inspections, working closely with the A&E Division Scheduler.
  • Provide back-up assistance to the Inspections Manager.
  • Create/maintain/update locations within ServiceTrade.
  • Assist with Collections for locations that have inspections that need to be scheduled.
  • Other duties as assigned.
