About The Position

This position is responsible for populating, maintaining, and managing information in various formats including, but not limited to: wastewater asset data, operations and maintenance reports, parts and equipment inventories, laboratory data and records, budget and purchasing records, and personnel records. The position requires excellent organization, communication, and data management skills, leveraging common administrative technology tools such as the Microsoft Office software suite. The position requires a high aptitude for learning database-driven administrative software.

Requirements

  • Possess a high school diploma or GED.
  • Requires a valid Texas Driver’s License.
  • Possess effective written and verbal communication skills.
  • Possess the ability to adapt to changing organizational needs.
  • Is detail-oriented with good problem-solving skills.
  • Is adept at using business software.
  • Understand the importance of data integrity.
  • Employees required to drive as part of their job duties are responsible for maintaining a current, valid, and vehicle - appropriate driver' s license of their resident state.

Responsibilities

  • Achieves proficiency in use of applications covering asset and maintenance management, budget and purchasing management, records management, and other administrative software.
  • Provides assistance to other staff experiencing application usability challenges.
  • Maintains a general understanding of water and wastewater processes and compliance practices.
  • Employs Microsoft Office software to support an array of operations, maintenance, and administrative tasks, and to provide reports and information to other personnel.
  • Provides front-office support duties such as reception desk activities, filing, administrative support, purchasing, scheduling, timecard management, and other administrative duties.
  • Works collaboratively with other NTMWD personnel to maintain and monitor accuracy of regulatory, financial, maintenance, and key performance indicator reporting.
  • Suggests ways to improve information management, streamline processes, and increase the efficiency of information management activities.
  • Establishes, performs, and improves Standard Operating Procedures (SOPs) related to information management activities.
  • Participates in team meetings and proactively provides input and suggestions.
  • Maintains an understanding of NTMWD policies and procedures.
  • Participates in meetings, workgroups, and committees related to District initiatives.
  • Participates in the Records Liaison Officer Program through attending quarterly meetings, seeking out additional records-related training/learning opportunities (i.e., reading articles, attending webinars/seminars), and through participating in other records-related activities. Captures District records into the ERMS (Electronic Records Management System) software.
  • Performs other duties as assigned.
