Ensure that accurate student data is available for State and management reports by gathering and inputting student information, course information, schedules and other vital information into the District’s student database system. The Information Management Technician (Elementary / Middle School) shall adhere to instructions and prescribed methods and procedures to meet all required deadlines. This role involves creating school Master Schedules, Bell Schedules, Secondary Bell Schedules, and Course Dictionaries by entering required information in the district student database system. A key responsibility is ensuring the accuracy of all student data entered for purposes of the State Full Time Equivalent (FTE) reporting and maintaining knowledge of current State Department of Education requirements and meeting all established deadlines for FTE reporting. The technician will enter information on all new enrollments, withdrawals and renewals into the district student database system, assign student numbers, enter individual schedules for all students, and maintain accurate documentation of all changes. Processing report cards, changes in grades, and incomplete notices, as well as generating reports from TERMS, Data Warehouse, Optispool, and other local web-enabled reporting systems are also core duties. The role requires reviewing, interpreting, and editing on-line reports from the district student database system, confirming grades of entering, changing, and transferring students, and notifying teachers of incomplete grades, following up with administrators as required. Assisting school personnel in accessing, viewing, retrieving information, and entering student data into the district student database system is essential. Maintaining and securing confidential files that support FTE documentation for auditing purposes and updating the system with information regarding students promoted to middle/high school are also part of the responsibilities. The technician will create and assign a three-digit identification number to designated personnel to authorize access to systems reports and other required information. Effective interaction with the general public, staff members, students, teachers, parents, and administrators, using tact and good judgment, is expected. Performance includes performing mathematical computations and monitoring the location’s Class Size Reduction progress with the designated administrator on an ongoing basis. Safeguarding the confidentiality of all student data and other forms of privileged information entrusted to the school is paramount. All activities must be performed in compliance with equal employment and non-discrimination policies. Participation in training programs to enhance skills and proficiency, reviewing current developments, literature, and technical sources, and ensuring adherence to safety rules and procedures are also required. Following federal and state laws, as well as School Board policies, and performing other duties as assigned by the administrator/principal or designee are expected.
