About The Position

This position ensures accurate student data is available for State and management reports by gathering and inputting student information, course information, schedules, and other vital information into the District’s student database system. The Information Management Technician (Elementary / Middle School) adheres to instructions and prescribed methods and procedures to meet all required deadlines. This role involves creating school Master Schedules, Bell Schedules, Secondary Bell Schedules, and Course Dictionaries by entering required information into the district student database system. A key responsibility is ensuring the accuracy of all student data entered for State Full Time Equivalent (FTE) reporting and maintaining knowledge of current State Department of Education requirements and deadlines for FTE reporting. The technician will enter information on new enrollments, withdrawals, and renewals, assign student numbers, enter individual student schedules, and process report cards, grade changes, and incomplete notices. The role also includes generating reports from various systems, reviewing and editing on-line reports, confirming grades for students, notifying teachers of incomplete grades, and assisting school personnel with data entry and retrieval. Maintaining and securing confidential files for FTE documentation and updating the system with information regarding student promotions are also essential duties. The position requires creating and assigning identification numbers for personnel access, interacting effectively with various stakeholders, and performing mathematical computations. Additionally, the technician will monitor Class Size Reduction progress, safeguard student data confidentiality, and perform duties in compliance with equal employment and non-discrimination policies. Participation in training programs and staying updated on job-related developments are expected. Safety rules, federal and state laws, and School Board policies must be followed. Other duties as assigned by administration are also part of the role.

Requirements

  • Standard high school diploma or satisfactory completion of an approved General Educational Development (GED) Testing Program.
  • A minimum of two (2) years, within the last five (5) years of related experience.
  • Knowledge of clerical practices and procedures, including, filing, answering phones or utilizing standard office equipment.
  • Successful completion of the Broward County Information Management Technician Training within the first 90 days of employment or the first available training class.
  • Computer skills as required for the position.

Responsibilities

  • Create the school Master Schedule, Bell Schedule, Secondary Bell Schedules, and Course Dictionary by entering required information in the district student database system.
  • Ensure the accuracy of all student data entered for purposes of the State Full Time Equivalent (FTE) reporting.
  • Maintain knowledge of current State Department of Education requirements and meet all established deadlines for FTE reporting.

  • Assign student numbers, enter individual schedules for all students and maintain accurate documentation of all changes.
  • Process report cards, changes in grades, and incomplete notices as appropriate.
  • Generate reports from TERMS, Data Warehouse, Optispool and other local web-enabled reporting systems.
  • Review, interpret and edit on-line reports from the district student database system, as required.
  • Confirm grades of entering, changing and transferring students.
  • Notify teachers of incomplete grades and follow up with administrator as required.
  • Assist school personnel in accessing, viewing, retrieving information and entering student data into the district student database system.
  • Maintain and secure confidential files that support FTE documentation for auditing purposes.
  • Update the system with information regarding students promoted to middle/high school.
  • Create and assign a three-digit identification number to designated personnel to authorize access to systems reports and other required information.
  • Interact effectively with the general public, staff members, students, teachers, parents, and administrators, using tact and good judgment.
  • Perform mathematical computations that involve the addition, subtraction, multiplication and division of whole numbers and fractions.
  • Monitor the location’s Class Size Reduction progress with the designated administrator on an ongoing basis.
  • Safeguard the confidentiality of all student data and other forms of privileged information entrusted to the school.
  • Perform and promote all activities in compliance with the equal employment and non-discrimination policies of The School Board of Broward County, Florida.
  • Participate in the training programs offered to enhance the individual skills and proficiency related to job responsibilities.
  • Review current developments, literature and technical sources of information related to job responsibilities.
  • Ensure adherence to safety rules and procedures.
  • Follow federal and state laws, as well as School Board policies.
  • Perform other duties as assigned by the administrator/principal or designee.
