About The Position

The San Francisco Museum of Modern Art (SFMOMA) is seeking an Individual Giving Associate for the Director's Circle program. This role provides essential administrative support to the Director's Circle (DC) program, working closely with the Individual Giving team and the broader Philanthropy department. The Associate will play a key role in maintaining positive donor relationships and ensuring top-tier stewardship for the museum's most generous supporters. Responsibilities include gift tracking, managing renewals, supporting events, assisting volunteer leadership committees, and fulfilling benefits for donors. The position requires strong attention to detail, excellent communication and project management skills, the ability to manage multiple deadlines, and a talent for creating and maintaining organized systems. Requirements

  • Bachelor’s degree or comparable work experience.
  • Minimum of two (2) years of experience in development position preferred
  • Excellent support staff skills, including exceptional communication and interpersonal skills
  • Prior experience in Tessitura or other database software is preferred
  • Demonstrated ability to produce detail-oriented work when performing a variety of work-related functions such as typing, proofreading, data entry, file management and calculations is required.
  • Communicate effectively in person, on the telephone, and in writing with supervisors, staff, trustees, donors, and volunteers with grace and accuracy.
  • Ability to handle multiple projects and deadlines simultaneously in a fast-paced and busy environment.
  • Ability to take initiative and work independently when needed, ask clarifying questions, and the capability to work with minimal supervision.
  • Proficiency in all Microsoft Office Programs including Microsoft Word, Outlook, Excel, PowerPoint, and CRM database software (Tessitura preferred).
  • Strong attention to detail.
  • Demonstrate a genuine interest in fundraising in a nonprofit setting.
  • Experience with standard office procedures and practices.
  • Ability to work under pressure and against deadlines.

Responsibilities

  • Act as a front line for donors, taking phone calls from members and prospects, as well as drafting and processing correspondence and other written materials.
  • Manage regular cycle of renewals and solicitations for DC donors, including the Annual Pledge Mailing. Create timelines, recognition lists, contribution forms, benefits information, and other enclosures, and guides and coordinates with Philanthropy colleagues working on parallel appeals as appropriate.
  • Coordinate Director’s Circle committee meetings including scheduling meetings; communicating with the committee; tracking RSVPs; arranging meeting rooms, IT, and catering; building agendas and PowerPoint presentations; printing handouts and name plates; taking minutes; and disseminating recaps to committee members.
  • Provide logistical and administrative support for DC stewardship and prospecting events such as exhibition previews, receptions, tours, private collection visits, and the annual Director’s Dinner, including invitation list management, mailings, tracking RSVPs, event logistics, staffing, and other support as needed.
  • Support the production of the quarterly DC email newsletter including gathering content, images, routing for approval, and deploying via email provider.
  • Maintain DC and associated events calendars, keeping electronic calendars (internal and external) up to date.
  • Provide clerical and administrative support to members of the Individual Giving team as needed, including tracking, organizing, and submitting expense reimbursements.
  • Assist in the creation of an annual stewardship email which deploys to all CC and DC members, collaborating with Design, Marketing and Communications, and gathering data from Education and Community Engagement departments.
  • Manage timely and accurate gift processing, tracking, and acknowledgement.
  • Generate regular reports to track income, membership, and other key performance indicators, and leverage Tessitura analytics for program insights.
  • Manage the input and upkeep of donor plans and constituent records for DC in Tessitura.
  • Maintain donor and prospect records including database records in Tessitura, paper files, and electronic files.
  • Maintain strict confidentiality regarding all aspects of the programs, such as donor and constituent information, department operations, and financials. Understand that they represent the museum and are expected to conduct themselves with discretion.
  • Demonstrate a commitment to advancing SFMOMA’s diversity, equity, inclusion, and access efforts, working towards making the museum a welcoming place for everyone, both internally and externally.
  • Work internally with CRM Enterprise Services, Editorial, Marketing, Design, Visitor Experience, and Curatorial departments, as well as externally with trustees, volunteers, interns, and external vendors, exercising discretion on highly confidential and sensitive information.
