About The Position

The San Francisco Museum of Modern Art (SFMOMA) is seeking an Individual Giving Associate for the Curators' Circle program. This role provides administrative support for an upper-level annual giving program aimed at raising $1.4 million in unrestricted support for SFMOMA's general operations. The Associate will work closely with colleagues across the Philanthropy department and the museum to maintain positive donor relationships and deliver excellent stewardship. Key responsibilities include gift tracking, renewal management, event support, volunteer leadership committee support, and benefit fulfillment for generous donors. The position requires strong attention to detail, excellent communication and project management skills, and the ability to manage multiple overlapping deadlines in a fast-paced environment. The role involves collaboration with various internal teams such as CRM Enterprise Services, Donor Events, Membership, Design, Email Marketing, Editorial, Visitor Experience, and Curatorial departments, as well as external stakeholders like trustees, committee members, volunteers, and vendors. The Associate is expected to become familiar with SFMOMA's systems and workflows within the first 30 days, work with increasing independence within 90 days, and become a trusted, self-sufficient member of the Philanthropy team within one year.

Requirements

  • Undergraduate degree or comparable work experience.
  • Minimum of two (2) years of experience in development position preferred
  • Excellent support staff skills, including exceptional communication and interpersonal skills
  • Prior experience in Tessitura or other Customer Relations Management (CRM) database software is preferred
  • A demonstrated ability to produce detail-oriented work when performing a variety of work-related functions such as typing, proofreading, data entry, file management and calculations is required.
  • Communicate effectively in person, on the telephone, and in writing with supervisors, staff, trustees, donors, and volunteers with grace and accuracy.
  • Ability to handle multiple projects and deadlines simultaneously in a fast-paced and busy environment.
  • Ability to take initiative and work independently when needed, ask clarifying questions, and the capability to work with minimal supervision.
  • Proficiency in all Microsoft Office Programs including Microsoft Word (including Mail Merge), Outlook, Excel, and PowerPoint.
  • Proficiency in Customer Relations Management (CRM) database software (Tessitura preferred).
  • Proficiency in Venue and Event Management software (Artifax preferred).
  • Strong attention to detail.
  • Demonstrate a genuine interest in fundraising in a nonprofit setting.
  • Experience with standard office procedures and practices.
  • Ability to work under pressure and against deadlines.

Responsibilities

  • Act as a front-line liaison for donors, taking phone calls and emails from members and prospects, drafting and processing correspondence, and other written materials.
  • Provide excellent donor stewardship through the consistent management of benefit fulfillment and all related administrative tasks.
  • Manage regular cycle of renewals and solicitations for Curators' Circle donors; including creating campaign appeal timelines, recognition lists, contribution forms, benefits information, and other enclosures, guiding colleagues in Curatorial, Design, Email Marketing, Major Giving, and on Annual Giving teams as appropriate.
  • Coordinate Curators' Circle Committee meetings including scheduling meetings, communicating with the committee, tracking RSVPs, arranging meeting rooms, IT and catering, building agendas and PowerPoint presentations, printing handouts and name plates, and taking and disseminating recaps to committee members.
  • Provide logistical and administrative support for Curators' Circle stewardship and prospecting events such as exhibition opening celebrations, benefit tours, curator-led tours, and other signature events, including invitation list management, mailings, tracking RSVPs, event logistics, staffing, scheduling and other support as needed.
  • Produce quarterly Curators' Circle email newsletter, gathering content, images, routing for approval, and deploying via email provider.
  • Maintain Curators' Circle and associated events calendars, keeping electronic calendars (internal and external) up to date.
  • Provide clerical and administrative support to members of the Major and Annual Giving team as needed, including tracking, organizing, and submitting expense reimbursements; booking and managing donor benefit tours in Artifax; and event invitation list management.
  • Provide administrative support for the Curators' Circle travel program including assisting with tracking and soliciting prospective travelers, communicating trip information to members, and supporting logistic planning as appropriate.
  • Manage timely and accurate gift processing, tracking, and acknowledgement.
  • Generate regular reports to track revenue, membership, and other key performance indicators, and leverage Tessitura analytics for program insights.
  • Manage the input and upkeep of donor plans and constituent records for Curators' Circle and support the upkeep of Accessions, Contemporaries, SECA, Individual Restricted, and Legacy Giving Plans when applicable in Tessitura.
  • Maintain donor and prospect records including database records in Tessitura, paper files, and electronic files.
  • Maintain strict confidentiality regarding all aspects of the programs, such as donor and constituent information, department operations, and financials. Understands that they represent the museum and are expected to conduct themselves with discretion.
  • Support the advancement of SFMOMA’s diversity, equity, inclusion, and access efforts by making the museum a welcoming place for everyone, both internally and externally.
  • Work internally with CRM Enterprise Services, Donor Events, Membership, Editorial, Email Marketing, Design, Visitor Experience, and Curatorial departments, as well as externally with trustees, volunteers, interns, and external vendors, exercising discretion on highly confidential and sensitive information.
