About The Position

Saul Ewing LLP is seeking a motivated and enthusiastic Assistant to support the firm’s Inclusion and Engagement and Pro Bono initiatives. Reporting to the Manager of Inclusion and Engagement and sitting on the Professional Development Team in Philadelphia, the Assistant will provide support for internal and external Inclusion and Engagement and Pro Bono programming, events, and communications. The Assistant will spend half their time working directly with the firm’s Manager of Inclusion and Engagement, and the other half with the Pro Bono Counsel. Supporting the Manager of Inclusion and Engagement, the candidate will provide support for internal and external Diversity, Equity, and Inclusion (DEI) and Engagement initiatives, events, and communications to support the retention, inclusion, advancement, and education of firm members. Additionally, the Assistant will support data collection and analysis for DEI reporting and RFPs. In support of the firm’s pro bono efforts, the Assistant will work directly with the firm’s Pro Bono Counsel to manage administration of the firm’s pro bono program. They will track and monitor pro bono participation, coordinate pro bono trainings and events, compile and analyze data, help staff pro bono cases and clinics, support partnerships with firm clients, and help with marketing and communications efforts related to pro bono.

  • Bachelor’s Degree.
  • 1-2 Year(s) experience working within corporate event planning, communications, diversity, professional development, pro bono or recruiting experience.
  • Proficient in Microsoft Word, Excel, PowerPoint, and Zoom.

Nice To Haves

  • 1 year of working experience within a law firm or legal services organization is a plus
  • Experience with Dayforce, Smartsheet and Canva a plus.

Responsibilities

  • Support with scheduling, event planning, and logistical coordination of firmwide Diversity, Equity, and Inclusion (DEI) Committee and resource group meetings, including ensuring all programs are on the shared Professional Development and Firm Intranet calendars and creating post-event feedback surveys.
  • Assist with affinity/heritage month communications and celebrations, including maintaining and updating the affinity/heritage month calendar and keeping track of volunteer writers.
  • Provides support with coordination of lawyer and guest attendance to DEI sponsored conferences, programs, and events, including the submission of logo, ad, invoice, and other sponsorship materials.
  • Maintain DEI Committee and resource group pages on Firm Intranet and regularly monitors for updates.
  • Support the launch of the annual firmwide Gallup Engagement Survey, including scheduling calls with Gallup contacts and monitoring the participation rate.
  • Assists with survey responses, RFPs, diversity awards and related internal/external diversity-related inquiries.
  • Assist with reports on diversity-related firm statistics.
  • Assist with compiling monthly resource group and firmwide DEI newsletters, including maintaining records of spotlighted attorneys.
  • Attend occasional webinars and other educational events in the DEI space.
  • Maintain accuracy and organization of online file storage and resource group membership rosters.
  • Assist with maintaining pro bono databases and tracking systems to help monitor pro bono cases.
  • Assist with transitioning pro bono matters when attorneys depart.
  • Provide introductory resources for firm attorneys, particularly new, lateral and summer associates, to participate in the pro bono program.
  • Assist in preparation of statistical and narrative public reports.
  • Maintain updated list of pro bono training opportunities and assist with process of connecting attorneys to relevant trainings.
  • Help maintain pro bono page on firm’s internal and external site.
  • Carry out administrative tasks associated with organizing and executing pro bono events including clinics, trainings, Pro Bono Week, lunch and learns, annual awards, etc.
  • Coordinate with the firm’s CLE team as necessary.
  • Research, prepare and help submit nominations and supporting documents for pro bono awards.
  • Promote pro bono through newsletters, flyers, posters and other outlets highlighting pro bono matters of interest, achievements, awards and recognition, etc.
  • Handle administrative tasks related to Pro Bono Committee meetings.
  • Provide general administrative assistance, as needed, to the Pro Bono Counsel.
  • Assume other responsibilities as needed to support the firm-wide pro bono and DEI programs.
