About The Position

The Implementations Coordinator plays an important role in supporting the continued growth and success of MediStreams' existing client relationships by managing lower-complexity implementation and configuration requests from intake through go-live. Rather than owning full-scale new client implementations, this position focuses on the ongoing needs of established clients as their organizations evolve, including new lockbox setups, additional practices or locations, indexing changes, correspondence routing, and other configuration updates.

Working closely with the Implementation team, clients, and internal stakeholders, the Implementation Coordinator ensures each request remains organized, properly configured, and moving forward within established implementation timelines. This role combines client communication, technical learning, and project coordination and provides a unique opportunity to develop hands-on implementation experience while building toward ownership of larger and more complex client implementations.

Requirements

• Client-facing experience with strong written and verbal communication skills
• Strong organizational and time-management skills, with the ability to manage a high volume of concurrent requests with limited oversight
• Comfort learning technical, file-based configuration processes and new systems
• A self-directed and proactive approach to managing responsibilities and following projects through completion
• Strong attention to detail and the ability to maintain accurate project and client records
• Ability to collaborate effectively with clients and cross-functional internal teams
• Ability to work Eastern Time business hours

Nice To Haves

• Prior experience in project coordination, account management, implementation, or a related client-facing role is helpful but not required
• Experience within healthcare, banking, payments, revenue cycle management, or a related industry is a plus

Responsibilities

• Own lower-complexity implementation and configuration requests for existing clients by coordinating new lockbox setups, additional practices or locations, indexing changes, correspondence routing updates, and similar requests from intake through completion.
• Configure file routing for existing client environments by supporting the setup of new locations, lockboxes, and other configuration additions within established client feeds.
• Drive assigned implementations toward successful go-live by monitoring timelines, coordinating next steps, and maintaining clear communication with clients and internal stakeholders.
• Identify and escalate changes in project complexity by recognizing when an implementation request extends beyond its original scope and engaging the appropriate Implementation team members for additional support.
• Maintain accurate implementation records and project status by keeping HubSpot and Trello information current and following established Implementation team project-governance practices.
• Provide clear and consistent client communication by setting expectations, sharing status updates, coordinating requirements, and ensuring clients remain informed throughout the implementation process.
• Collaborate with Senior Implementation Managers on complex implementations by shadowing larger projects, developing deeper knowledge of MediStreams' implementation processes, and providing additional support as needed.
• Build technical and operational knowledge of MediStreams' solutions by developing proficiency in file-based configurations, routing workflows, client environments, and implementation requirements.
• Manage multiple concurrent implementation requests by organizing priorities, tracking deliverables, and maintaining momentum across a high-volume queue of smaller projects.
• Support additional implementation initiatives as needed by assisting with special projects, client configuration needs, and evolving priorities across the Implementation team.
