About The Position

This role involves providing essential support to an immigration practice by drafting legal documents, assembling immigration petition and application packets, corresponding with clients, tracking case status, processing mail, maintaining case files, and coordinating with attorneys and legal staff. The position requires a high degree of attention to detail, strong organizational skills, and the ability to handle sensitive client information with care and confidentiality in a fast-paced legal environment.

Requirements

  • Immigration legal experience required (law firm, legal admin, paralegal, or similar role within an immigration practice).
  • Self-motivated with the ability to drive priorities and tasks with minimal supervision.
  • Comfortable with high-volume, hands-on, manual work, including accurate mail handling and packet assembly.
  • Sharp attention to detail to catch missing documents and errors.
  • Strong organizational skills, able to juggle multiple packets and deadlines.
  • Reliable, in-person presence at the Arizona office.
  • Clear, professional communication skills over the phone and in writing.
  • Trustworthy with sensitive and confidential client information.
  • Ability to thrive in a fast-paced, deadline-driven legal environment.

Nice To Haves

  • Experience with specific immigration filing types (family-based, employment-based, asylum, or similar).
  • Tech forward and experience working in a tech or startup environment.
  • Familiarity with immigration case management software.

Responsibilities

  • Draft legal documents, including immigration forms and supporting documentation for filings, as well as client correspondence.
  • Assemble immigration petition and application packets, ensuring accuracy, completeness, and correct organization of all required forms, supporting documents, and exhibits.
  • Communicate directly with clients to request missing documents, confirm receipt, answer routine questions, and provide status updates.
  • Track packet status and deadlines, identifying and flagging missing information or documents needed from clients or attorneys.
  • Process incoming and outgoing mail for the immigration practice, including sorting, logging, and routing time-sensitive correspondence, notices, and filings.
  • Maintain organized physical and digital case files through scanning, filing, and data entry.
  • Coordinate with attorneys and legal staff to confirm packet requirements and ensure timely, accurate submission.
  • Handle sensitive client documents (passports, identification, immigration records, medical records) with care, accuracy, and confidentiality.
  • Provide day-to-day office support for the immigration team.
