About The Position

Cohen Immigration Law has practiced exclusively in Canadian immigration for nearly 50 years. We're the legal team behind CanadaVisa.com — Canada's most-visited immigration site, reaching millions of visitors each month. We process thousands of cases per year across citizenship, express entry, work permits, family sponsorship, and criminal inadmissibility. We're also in the middle of a transformation. We've built an AI-powered client portal, a real-time operations dashboard that gives every team member visibility into their caseload and performance, and we're actively investing in tools that eliminate busywork and let case managers focus on what matters — serving clients well and moving files forward. This is not a firm stuck in the past. You'll manage a portfolio of immigration files from intake through government submission and decision. You'll be the primary point of contact for your clients — answering questions, collecting documentation, pushing files through the pipeline, and making sure nothing falls through the cracks. You'll work inside a purpose-built dashboard that shows you exactly where every file stands, which clients need attention, and how you're performing against clear targets. You'll collaborate closely with your supervisor and the legal team, and you'll have a direct line to flag what's working, what isn't, and what should be automated.

Requirements

  • Organized and detail-oriented. You manage multiple files without dropping balls. A name spelled two ways across documents, a date that doesn't add up — these things jump out at you.
  • A strong written communicator. A significant part of your day is messaging clients. Your tone is warm, clear, and confident. You can explain a complicated situation in plain language and make someone feel like they're in good hands.
  • A fast learner. Immigration experience is a plus but not required — we'll train you on the domain. We'd rather hire someone with sharp operational instincts and teach them immigration than the other way around.
  • Tech-comfortable. You've used CRMs, dashboards, or case management tools before. You're not intimidated by new software. Bonus points if you've used AI tools like ChatGPT or Claude and thought about how they could make work faster.

Nice To Haves

  • Bilingual (English/French) is an asset but not required.

Responsibilities

  • Manage a high volume of immigration files, ensuring every client gets timely, clear, and professional communication
  • Use our operations dashboard and client portal to track files, respond to clients, and stay on top of deadlines — no more digging through email threads
  • Collect and review client documents, prepare submission packages, and coordinate with lawyers for quality control
  • Keep files moving — if a file is stuck, you know why, and you have a plan to unblock it
  • Escalate complex legal questions to your supervising attorney with the right context so they can act quickly
  • Spot inefficiencies and suggest improvements — every time you repeat a manual task, ask whether it should be automated
