About The Position

The Imaging Scheduler is responsible for patient registration, pre-certifications, insurance verification, patient payment administration, and managing medical record numbers. This role ensures accurate data entry, collects necessary signatures and payments, and communicates effectively with patients and service departments. The scheduler also handles patient type changes and provides excellent customer service, acting as a backup for team members as needed.

Requirements

  • High School Diploma or GED
  • General Studies Required
  • 1-2 years' experience in either medical office appointment scheduling OR healthcare/insurance call center setting preferred
  • Imaging experience preferred

Responsibilities

  • Patient Registration: Pre-registers all scheduled patients for admission, partial hospitalization, and outpatient services. Reviews and enters information accurately, obtains signatures, and collects payments.
  • Pre-Certifications/Pre Admissions: Secures needed pre-certifications, authorizations, and referrals, entering information correctly. Routes paperwork and communicates with service departments regarding incomplete orders.
  • Insurance Verification: Verifies insurance using the most cost-effective method. Confirms accuracy of system information and ensures verified insurance matches the plan filed. Correctly assigns Guarantors.
  • Insurance Benefit Information: Enters insurance benefit information in a standardized format, scans documentation, and correctly selects insurance plans in the proper coordination of benefits order. Enters appropriate Account Notes and uses Standard Notes when required.
  • Patient Payment Administration: Calculates patient financial responsibility, informs patients of amounts owed and payment options. Administers the Hospital Credit and Collection policy, offering discounts and identifying patients for financial assistance.
  • Medical Record Numbers: Accurately selects patients from the Master Patient Index or assigns new numbers. Reports and codes duplicate medical record numbers.
  • Patient Type Changes: Assigns the correct patient type and correctly converts registrations. Notifies Clinical Denial Management as appropriate.
  • Customer Service: Greets patients, answers telephone calls, distributes parking passes, and explains HIPAA privacy information.
  • Teamwork: Serves as backup for team members and follows department rules and regulations.
