About The Position

We are seeking a dedicated and organized Human Resources Virtual Assistant to support our Physical Therapy and Rehab Clinic. This is a part-time, home-based role focused on recruitment, hiring, compliance, and administrative support. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to manage various HR functions remotely.

Requirements

  • Experience in recruitment and HR support.
  • Proficiency in sourcing candidates through various platforms.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality.
  • Familiarity with HR compliance requirements (licenses, certifications, etc.).
  • Experience with HRIS or applicant tracking systems is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or Google Workspace.
  • Ability to work independently and remotely.

  • Previous experience in a virtual assistant role.
  • Experience in the healthcare or physical therapy industry.

Responsibilities

  • Schedule and coordinate interviews between candidates and leadership teams.
  • Source qualified candidates through job boards, recruitment platforms, databases, and social media.
  • Assist with candidate communication, follow-up, and interview coordination throughout the hiring process.
  • Coordinate and track background checks, onboarding documentation, and hiring progress.
  • Participate in and support virtual onboarding sessions for new hires.
  • Maintain recruitment tracking spreadsheets, applicant databases, and candidate pipelines.
  • Monitor and track employee compliance requirements, including: Professional licenses and certifications, CPR certifications, OIG exclusion screenings, Required onboarding and annual training completion.
  • Send reminders regarding expiring credentials, incomplete documentation, and pending compliance items.
  • Assist with onboarding records and employee file management.
  • Ensure timely follow-up on compliance-related requirements.
  • Draft professional HR, onboarding, and recruitment-related emails and communications.
  • Prepare reports, presentations, spreadsheets, and tracking documents as assigned.
  • Coordinate meetings, manage calendars, and schedule appointments.
  • Take meeting notes and maintain organized documentation.
  • Communicate professionally with candidates, employees, vendors, and leadership teams.
  • Conduct basic online research and administrative support tasks.
  • Perform additional operational and administrative duties as assigned by leadership.
