About The Position

Needham Public Schools (NPS) is seeking an energetic, skilled, and warm Human Resources Specialist to join their inclusive, dynamic, and multicultural community. This role supports the goals of enhancing student, family, and staff success by focusing on human capital management, including recruitment, retention, policy interpretation, licensure compliance, and procedure review. The position ensures consistent application of personnel transactions and compliance with relevant laws and regulations, working under the direction of the Assistant Superintendent for Human Resources and the Assistant Director for Human Resources.

Requirements

  • Bachelor’s degree in Human Resources or a related field preferred.
  • SHRM certification preferred.
  • Previous HR experience, particularly in a school department setting, is strongly preferred.
  • Advanced skills in Google Suite (Docs, Sheets, Slides), Excel, and school-based information systems such as ERP Pro - IV, MUNIS, PowerSchool (TalentEd, Records, Perform, SmartFind).
  • Proven ability to handle sensitive data with extreme integrity and discretion.
  • Exceptional verbal and written communication skills.
  • Ability to remain professional in stressful situations.
  • Strong attention to detail and the capacity to meet strict deadlines while managing multiple complex tasks.

Responsibilities

  • Conducts onboarding and offboarding for all staff, creating employee records on HR and Finance systems, and meeting with new hires to support the onboarding process.
  • Serves as the primary contact for professional staff regarding licensure information and questions, tracking and monitoring licensing/re-licensing compliance monthly, verifying school-based employment for license progression, and submitting waiver documentation.
  • Processes FMLA requests using a web-based service and provides FMLA guidance to staff.
  • Ensures retirement enrollment forms for the Town and MTRS are completed and sent to the appropriate boards, and assists with open enrollment.
  • Acts as the district substitute coordinator, coordinates the hiring of substitute teachers, participates in job fairs, and screens candidates for instructional and non-instructional positions.
  • Collaborates with administration to plan recruiting and retention efforts, such as mentor inductions and substitute orientations.
  • Ensures data is accurately entered into systems and monitors staff personnel and medical files for accuracy and completeness.
  • Manages attendance reporting and liaises with supervisors to prepare reasonable letters for Unit E, substitutes, and miscellaneous employees.
  • Supports workday obligations for hourly staff and attends bi-monthly risk management committee meetings.
  • Responds to non-financial employment verification requests promptly and acts as a liaison with Principals and Administrative Assistants on HR matters.
  • Supports administration with federal and state compliance reporting and assists with special Human Resources projects.
  • Performs other related duties as assigned.
